Individual Contractor-Administrative Assistant

Result of Service - Relevant digital and physical HR files migrated to Share point within established timeline. - Creating and maintain effective hierarchical filing system for all documents. - Ensuring staff member’s digital OSF has all mandatory documents.

Duties and Responsibilities The individual contractor will be responsible to perform the following duties:

• Review and Organize HR SharePoint files and documents.
• On-site maintenance of the central hard copy HR/Administrative filing system.
• Ensure that all hard copies are scanned and indexed to the digital filling system.
• Review of all HR data and documents and information provided to ascertain that the documents and data are in conformity with the set standards (verified with originals as appropriate).
• Ensure that documents submitted for processing electronically are retrieved and processed in time, and that completed documents are delivered electronically, as needed.
• Assist to build an effective hierarchical filing system for all documents in the systems.

• Perform other duties as required.

  Qualifications/special skills This position is located in the Business Support Services Unit (BSSU) of the United Nations Joint Staff Pension Fund (UNJSPF). The incumbent reports to the HR Team Lead for Pension Administration, within BSSU / Geneva Office. Experience in managing digital and physical files.

  Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English and French is required. Knowledge of another official United Nations language is desirable.
