The Division of Private Fundraising and Partnerships (PFP) coordinates and provides support to National Committees and country office in all private sector fundraising and partnership activities, in cooperation with regional offices and with other headquarter divisions. The Division also implements global strategies in child rights advocacy, communication and brand positioning through a range of partnerships, including with the media, corporations, civil society and young people.
The Human Resources team is seeking to hire an administration support in a temporary capacity.
How can you make a difference?
Reporting to the Chief of HR and the HR Manager–Learning & Development, the consultant will provide administrative, procedural, and operational support and assistance to the HR team.
MAIN TASKS
Support Learning & Development Activities (HR team)
- Focal point for staff members booking onto trainings and additional queries; respond to training inquiries from all staff.
- Zoom production support to all virtual workshops, team retreats and webinars.
- Handle all logistics to support each event (e.g., internal and external room booking, reminders to participants, materials requisition, refreshments purchasing, etc.)
- Reach out to Administrative Assistants and/or section focal points for availability of their supervisors when high-level workshops require their presence.
- Constantly update the current PFP Training Calendar on the HR Sharepoint page of the PFP intranet.
- Provide maintenance support of the PFP L&D Agora Channel
- Disseminate post-training evaluation forms, compile, and share feedback to facilitator(s).
- Keep track and ensure availability of training-specific materials (e.g., 7 Habits kits).
Support Recruitment, Staff and Non-Staff Administration
- Documents and tracks human resources actions by completing forms, reports, logs, and records.
- Sets up and schedules complicated meetings for interviewees, hiring managers, employees, and department heads.
- Provide support to the administration of non-staff (consultants, individual contractors, and interns).
- Provide support to the administration of staff in the areas of onboarding, maintenance, and offboarding.
- Provide support to update HR Shared Services Site.
- Accomplishes human resources division and organization mission by completing related results as needed.
DELIVERABLES
- Reliable zoom production support to webinars, virtual workshops and virtual team retreats.
- All upcoming training offerings are broadcasted at least 2 weeks prior each workshop/training event.
- A reply is sent to interested staff (globally) within 48 hours of receipt of email inquiry.
- Rooms booked in advance, coffee and refreshments ordered.
- Completed evaluation forms are received from all workshop/training participants, and compiled for the facilitator’s peruse.
- List of participants is updated based on the signed attendance sheet within 48 hours of the workshop/training.
- Keeping up-to-date on the Intranet system.
- Organized scheduling of meetings for interviewees, hiring managers, employees, and department heads.
- Maintain the HR units’ files.
- Customer-oriented, highly quality, and timely support is provided to staff and non-staff.

11.5 months, tentatively starting on 7 January 2021
