Result of Service Ignite Stage and Sasakawa Award will be successfully organized and will complement the GP2022 programme.

Expected duration 5 months starting at the beginning of February 2022

Duties and Responsibilities Within the limits of delegated authority, the individual contractor will be responsible for the following duties: assist with the management of the organization and delivery of the Ignite Stage and Sasakawa Awards at the seventh session of the Global Platform for Disaster Risk Reduction 2022 (GP2022), including the following:

1) Ignite Stage

PRE

  • Support promotional activities around the Ignite Stage application period
  • Receive and acknowledge all submissions
  • Establish the selection committee and selection criteria (for online and on-site selection)
  • Contact all successful candidates and arrange presentation schedule
  • Liaise with specific stage users (community groups, theatre groups etc.) who have particular requirements and activities if necessary
  • Ensure technical requirements for online and on-site presentations are in place and liaise with technical team on requirements and options
  • Develop template for Ignite stage presentations website descriptions, collection of content and upload content on website
  • Prepare guidance note on how best to present
  • Ensure accurate information updates provided to relevant GP2022 team and online platforms
  • Ensure all recordings meet quality and duration requirements established by the technical team
  • Liaison with UNDRR regional offices in case of submissions in UN languages other than English

DURING

General responsibilities for the online only event: - Oversee the posting of all presentations online and liaise with technical team for any changes required - Provide information updates for the GP2022 virtual event platform / event application if necessary - Contribute to any social media content requests for UNDRR and GP2022 social channels (including taking photos and writing content blurb):

Additional responsibilities for hybrid event that will include on-site presentations: - Assist with the management of any volunteers assigned to supporting the event - Ensure coordination between presenters and technical staff

POST

  • Produce and/or review all assets including but not limited to photos, videos, social cards and post to the website or/and liaise with the Content and Channels team/Communication Focal Points for further dissemination
  • Draft and post all metadata to accompany videos

2) Sasakawa Award

  • Perform a wide range of office support and administrative functions related to implementation and assist with the management of the Sasakawa Award for Disaster Risk Reduction
  • Assist managing the application/nomination and selection process of Sasakawa Award for Disaster Risk Reduction, including assisting i) preparation for the documentation of the process and information package for the Award dissemination, ii) compiling received nomination documents and reviewing eligibility of applications/nominations, iii) producing a matrix to assist with the management of applications/nominations and necessary follow up communication with nominees, iv) development of the UNDRR’s recommendations for the scholarship award for the Jury's consideration, v) and preparation for the Jury meetings (including virtual) and deliberations for the Award
  • Provides secretarial, administrative and logistics support to meetings and other events as necessary
  • Assist researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc. in support of activities related to the Project
  • Assist and inform travelers (jury and winners) in their travels (ticketing, accommodation, visa arrangements, etc.) as necessary, in compliance with UN Rules and Regulations
  • Assist communications with Nippon Foundation as the sponsor for the Sasakawa Award for DRR, as appropriate and needed
  • Proofread documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format
  • Respond or draft responses to routine correspondence and other communications as necessary use standard word processing package to produce a variety of Project related documents and reports
  • Review, record, distribute and/or processes mail and other documents; follows-up on impending actions
  • Update and maintain distribution lists; monitor, prepare and distribute various materials, reports, where possible using electronic formats; handles arrangement for printing and publication as necessary
  • Coordinate shipment arrangements, courier services, etc.
  • Maintain calendar/schedules; monitor changes and communicates relevant information to appropriate staff inside and outside the Project Team
  • Maintains files (both paper and electronic) and databases for Project
  • Help and support ceremony award at the Global Platform in May 2022.

    Qualifications/special skills Academic Qualifications: - Advanced university degree in disaster risk reduction studies, international relations, environmental studies, or any other related area is required. Experience: 2 years of experience in project management and/or disaster risk reduction is required. Experience in content management of large-scale complex websites and social media channels is desired. Experience in the UN system is desired. Language: Fluency in written and spoken English is required. Additional UN languages are an asset.
