You have:

  • Manage and coordinate the use of CTS, LMMS, ITS, and SCOPE systems.
  • Conduct regular reviews of field-level commodity reports.
  • Provide training to field teams and CTS Assistants on system usage.
  • Organize and participate in monthly coordination meetings with stakeholders.
  • Ensure timely submission of required reports and invoices.

Key Responsibilities:

1. Commodity Tracking and Reporting Systems Oversight

  • Manage and coordinate the use of CTS, LMMS, ITS, and SCOPE systems.
  • Ensure all data entries are timely, accurate, and reflect actual distributions.
  • Troubleshoot system issues and liaise with relevant IT and program teams.
  • Maintain full documentation and audit trail of all commodity transactions.

2. Compliance and Verification

  • Conduct regular reviews of field-level commodity reports, including CSR, RSR, LSR.
  • Reconcile reports with supporting documentation (e.g., waybills, loss reports, DCVR).
  • Ensure that physical stock balances match reported figures through inventory verification.
  • Maintain signed hardcopies of all reports for compliance and audit readiness.

3. Capacity Building and Field Support

  • Provide training to field teams and CTS Assistants on system usage and compliance standards.
  • Conduct scheduled and unscheduled field visits to monitor program activities and reporting.
  • Provide technical support and on-the-job coaching during field deployments.

4. Stakeholder Coordination and Reporting

  • Organize and participate in monthly coordination meetings with stakeholders (WFP, UNHCR, etc.).
  • Ensure the timely submission of required reports and invoices to both internal departments and external partners.
  • Submit Commodity Summary Statements (CSS) and monthly distribution invoices in line with WV and donor standards.
