Title: HR Volunteer (National) TEAM/PROGRAMME: HR and Admin LOCATION:

Amman

GRADE: 7 CONTRACT LENGTH:

3 months (volunteer Agreement)

CHILD SAFEGUARDING:

Level 3: the role holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work in country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

ROLE PURPOSE:

The purpose of this role is to provide general support to the HR department, such as assisting with the proper documentation, arranging for HR meetings and inductions, updating the HR Information data system as needed, tracking the completion of mandatory trainings, following up on the timesheets submission, etc..

SCOPE OF ROLE:

Reports to: [HA1] HR Coordinator

Dimensions: Supports the successful running of the Syria Response office’s HR function.

Staff directly reporting to this post: None

KEY AREAS OF ACCOUNTABILITY:

Human Resources

  • Responsible for updating staff records on Oracle HR system and following up on any system technical issues.
  • Support HR Coordinator with tracking all staff contract end dates and ensuring that all staff contracts/ contracts extensions are signed and filed (hard and soft copies).
  • Maintain proper filing systems, correspondence and other material related to Human Resources files.
  • Maintaining accurate HR databases and ensuring data integrity.
  • Support with tracking staff probationary periods.
  • Support with Learning Management System, such as tracking of mandatory trainings completion, creating users when needed, updating records, etc..
  • Support HR Coordinator with following up the performance appraisal process (D2P) by extracting reports from the system and following up with staff on the completion of d2p when needed.
  • Support with following up on the timesheets monthly submissions and following up on any system technical issue.
  • Arrange for HR related meetings, trainings while providing the needed logistical support.
  • Responding to inquiries and providing guidance to new employees during the onboarding process.
  • Support with exit clearance for the staff (national, international), and liaise with finance for final payments, making sure the clearance is done properly and timely.
  • Following up on consultancy payments
  • Assisting in post-training evaluations and feedback collection.
  • Support with organizing team-building activities and events
  • Ensuring adherence to company policies, procedures, and regulatory requirements in all HR-related activities.
  • Working closely with HR coordinators to achieve departmental objectives and support overall HR initiatives.
  • Collaborating with cross-functional teams to ensure seamless coordination and execution of HR activities.

    QUALIFICATIONS AND EXPERIENCE

  • 0-1 years of experience in Human Resources.

  • BA degree in HR, Business Administration or related field.
  • Demonstrated experience in the HR or administrative field
  • Knowledge of principles and practices of human resources.
  • Good verbal and written communication skills in Arabic and English in addition to strong organizational skills.
  • Ability to plan and organize and work in a systematic and organized manner.
  • Detailed oriented
  • Customer service oriented.
  • Ability to priorities competing demands.
  • Strong team player with high team spirit and positive attitude.
