THMCO

Thailand Multi Country Office (THMCO) is a UNOPS business unit under the UNOPS Asia Regional Office and it was established to better support, develop and oversee the UNOPS portfolio of projects in South East Asia and the Pacific.

THMCO comprises three main portfolios –THOH Thailand, THOH Indonesia and THOH Pacific and provides a wide range of services including Project Management, Transactional HR, Financial, and Procurement to clients that include other UN entities, INGOs and governments/government agencies donors.

UNOPS THMCO is hiring for the position of Human Resources Intern. Under the direct supervision of the Human Resources Officer, the Human Resources Intern will deliver support in the area of recruitment, and will be involved in both operational and strategic work. The Human Resources Intern will be entrusted with projects that s/he will be able to manage independently and will get a privileged exposure to global HR operations in a UN organization.

The Human Resources Intern will work under the guidance of the Human Resources Officer to support in providing high-quality and consistent delivery of effective HR services (recruitment, contract and performance management of talent) to the office, ensuring full compliance with UN rules and regulations, UNOPS policies and procedures and internal Standard Operating Procedures (SOPs) in HR management. The Human Resources Intern also works in close collaboration with all HR team members to support their work and ensure consistent service delivery.

Duties and responsibilities

Reporting to the Human Resources Officer, who provides general guidance and remote supervision from THMCO, head office in Bangkok, the HR Intern is responsible for the following:

1. Support to policy development and implementation - Contribute to HR policy development and corporate HR initiatives by assisting to collect data on trends, risks and opportunities and sharing local HR best practices. - Assist with projects in support of HR initiatives for attainment of business objectives in line with the corporate HR strategy.

2. Support to Talent Acquisition and Administration - Assist in recruitment processes ensuring best practices are used for effective and efficient talent acquisition in line with UNOPS policy. - Support the completion of recruitment processes including offers and rejections, and updating recruitment on-line information system in line with UNOPS policy. - Undertakes reference checking, elements of longlisting, and organization of testing and interviews; fee calculation, minutes of general-service recruitments. - Finalizes selection and other process approvals. - Inform and advise UNOPS personnel, consultants, partners and project personnel on routine aspects and elements of their conditions of service and entitlements according to their contract modality, expediting actions to facilitate their efficient, timely, and client-focused onboarding. - Research precedents and present recommendations to the supervisor, taking into account institutionalized exceptions. Undertake research on a range of HR related issues and assist in the preparation of notes/reports. - Maintain monitoring systems, advising the supervisor on the status of pending requests and approaching deadlines. - Answer questions and follow-up with personnel and management to ensure completion of absences requests, performance management cycle, and other HR processes etc. in electronic information systems. - Liaise with relevant HQ and UN system units to exchange information and follow up on pending issues. - Set up and maintain reference files/records. - Follow up or process payroll verification. - Monitor status of HR actions to facilitate timely action by supervisor and line management, including on transactions initiated, expiring appointments/contracts, and pending separation actions. - Manage record maintenance; including personnel file systems as well as provision of related statistical summaries and tracking movements of UNOPS personnel within the relevant business unit/s.

3. Support to THMCO initiatives, focusing on achievement

  • Research on various HR topics (talent attraction, best practices in recruitment, outreach strategies, personnel development, benefits etc.)
  • Provide support in improving of existing HR processes
  • Contribute to various HR initiatives

4. Knowledge building and knowledge sharing and contribution to product/process efficiency - Support the identification and documentation of best practices and lessons learnt, including coordination and organization wide implementation of knowledge sharing and documentation methodologies - Contributions to knowledge management projects - Provide suggestions for process improvements - Support process efficiency initiatives

Education/Experience/Language requirements

Education:

  • Candidates must be currently enrolled in, or have recently completed (within 3 years prior to the application date of the internship) a Bachelor/Master’s/Ph.D. Degree in a relevant area in Human Resources Management, Psychology or related field.
  • Professional qualification proven to be equivalent to university degree shall be considered.
  • Completion of an Advanced University Degree in the relevant areas is a strong asset.
  • At least one year experience in the field of human resources management in a reputable organization is preferred.

Experience:

  • Experience in an international environment, Human Resources Management, Organizational Development, Change Management or related areas would be a strong asset.
  • Excellent English writing skill is an asset.
  • Experience in the usage of computers and office software packages (Google Suite/Workspace OR Microsoft Office) and experience in handling web-based systems is desirable.
  • Experience with data management and data analysis would be a strong asset.

Language: - Fluency in English is required.

Contract type, level and duration - Internship

Contract type: Internship Contract level: N/A Contract duration: 6 months with possibility of extension based on satisfactory performance and budget availability.

This internship is not designed to lead to a staff position with UNOPS. Therefore, there should be no expectation of employment at the end of the internship.

Interns may be eligible for a monthly stipend from UNOPS provided that they do not receive funds from other institutions. Further, UNOPS may provide a one time travel lumpsum of 500 USD. However, they must make their own arrangements for accommodation, travel and necessary visa arrangements.
