ORGANIZATIONAL CONTEXT

This job is based in Field Office Karachi, and the job holder reports to Head of Field Office. At this level job holders are expected to take responsibility for the completion of a full range of HR activities requiring some interpretation of standard guidelines and practices. Job holders are able to recommend a course of action within their area of expertise and may provide guidance to other staff.

JOB PURPOSE

To perform a range of HR tasks to support accurate implementation of WFP policies and procedures and facilitate the effective functioning of a client-focused and strategy-oriented HR services.

KEY ACCOUNTABILITIES (not all-inclusive)

Within delegated authority, the Human Resources Assistant will be responsible for the following duties:

  1. Prepare and manage attendance/Leave record for staff across Sindh including field office, warehouses and hub-based staff. Coordinate with Country office HR colleagues for reflecting leaves and related entitlements in monthly payroll.
  2. Check and maintain records of electronic attendance registers, leave reports, and other miscellaneous reports.
  3. Update and maintain leave plan for all staff in the province.
  4. Accurate and timely management of the Overtime for the Sindh staff.
  5. Facilitate COHR payroll focal person in verification of Payroll for provincial office.
  6. Receive and process ID card requests. Follow-up with all concerned regarding processing of new cards.
  7. Introductory email to all staff about new colleagues joining the Sindh office.
  8. Facilitate and guide staff on issues relating to Human Resource entitlements and regulations.
  9. Check and maintain all Personnel Files of staff. Ensure all files are accurate and up to date. Assist new staff in completing HR related documentation. Ensuring new staff members fulfill requirements as per the established standard (Personal files etc.). Share the record with CO as and when required.
  10. Assist supervisor and CO HR colleagues in recruitment process, contacting applicants, setting up interview panels, checking references & ensuring new staff paper work is accurate.
  11. Support and deliver on boarding for new sta joining WFP, to ensure that relevant processes are followed and the conditions of terms of service are explained and understood.
  12. Assist in facilitating training sessions as per the training plan. Coordinate with other units for arranging venues and training materials.
  13. Draft routine correspondence and initiate process for the preparation of all staff support documentation (bank accounts, Identification cards etc.).
  14. Assist the business support unit and perform the assigned tasks.
  15. Perform other related duties as and when required.

STANDARD MINIMUM QUALIFICATIONS

Education:

Completion of higher secondary school education, preferably supported by a university degree in HR or business.

Experience:

Five or more years of progressively responsible support work experience in general administrative work, including at least one year in human resources or other related field.

Knowledge & Skills:

  • Knowledge of general HR administrative work practices and methods, gained through relevant technical training and experience.
  • Good communication skills and basic understanding of HR principles and their application in order to respond to and resolve general HR queries.
  • Ability to develop and maintain relationships with a wide range of individuals in order to provide a high quality support service.
  • Ability to collate and compile relevant data from a variety of sources in order to produce periodic reports for supervisor(s).
  • Ability to monitor and record personnel files and documentation in an organised manner and in line with compliance standards.

Language:

Fluency (level C) in English and Urdu language.
