Danish Refugee Council (DRC) is a leading protection agency with a mandate to protect, advocate and promote durable solutions for displacement affected populations.

DRC has been operating in Ukraine since 2014, currently DRC employs over 700 staff in Ukraine and will continue significant scale-up in 2024 to implement emergency response in the Protection, Livelihoods, Shelter/NFIs and Humanitarian Disarmament and Peacebuilding (humanitarian mine action) sectors, using direct interventions, support to duty bearers and civil society organizations (CSOs), and partnerships with CSOs. DRC will continue and adapt its durable solutions portfolio to the evolving context.

About the job:

The Administration & Human Resources Assistant ensures smooth operations of DRC Kherson base. Responsibilities include performing administrative tasks (follow up and support with administrative authorizations, managing office supplies procurement, travel bookings, overseeing premises-related tasks and handling other duties as assigned) and human resources tasks (overall support in recruitment, support in human resources processes and documentation). By fulfilling these responsibilities, the role contributes to maintaining efficient operations and providing essential support to DRC activities in Kherson Region.

S/he is able to make independent decisions and actions in his/her field of activity, helping to fulfill the basic requirements of the organization and development of the response team. Your main duties and responsibilities will be:

  • Perform administrative tasks according to DRC guidelines.
  • Support with HR related tasks, including conducting interviews and reference checks, collecting and scanning personnel related documents.
  • Welcome and participate in administrative briefing of new personnel.
  • Manage premises related tasks including liaising with landlords, preparing and maintaining agreements and resolving issues related to the offices and guest houses.
  • Support with finance related tasks including handling of petty cash if asked.
  • Support with office related procurement including ordering and stocking office supplies.
  • Provide support to various departments in data entry tasks.
  • Book hotels/trips for DRC staff national and international travel
  • Receive and send official correspondence and maintain record for it.
  • Follow up and support with administrative authorizations.
  • Monitoring compliance with the organization's international code of conduct, internal and donor instructions/procedures regarding DRC procurement, to avoid conflicts of interest.
  • Perform ad hoc office tasks (for instance: purchases, office maintenance, looking for premises).
  • Participate in the organization of training.
  • The tasks and responsibilities defined in this job description are not exhaustive and can evolve depending on the project needs.

About you: To be successful in this role we expect you to have minimum 1 year of relevant work experience. Moreover, we also expect the following:

  • Knowledge of the Kherson Local Civil Society is an advantage.
  • Microsoft Office skills, in particular MS Excel and Word, experience with ERP systems is desirable.
  • Analytical mindset, attention to detail, communicability.
  • Upper-Intermediate English proficiency is mandatory
  • High professional ethics and understanding of privacy policy.
  • Fluency in Ukrainian and Russian

We offer: Contract length: open ended contract after 3 month probation period. Level: I non Manager Designation of Duty Station: Kherson - Full time based

Start date: As soon as possible. Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment for national staff.
