OBJECTIVES OF THE PROGRAMME

The role of the Division of Business Operations (BOS) ensures the productivity and transparency of the technical programmes and the implementation of the EPW. BOS oversees budgetary and financial accountability with a risk-based approach to support the management of entrusted resources with close attention to value-for-money principles. BOS implements projects to improve EURO's productivity and ensure financial sustainability of the region's structures; develop a client-oriented culture among the enabling services; strengthen Country Office capacities; and drive strategic initiatives to enhance staff motivation and productivity. BOS strives to strengthen the capacity of the Regional Office to react in an agile way to external and internal changes. The purpose of the Human Resources and Talent Management (HRT) unit is to partner with the business adding value to the business process and work of EURO through the provision of tactical and operational advice to staff and managers on workforce planning; Policy & procedural guidance - Efficient and effective sourcing, recruitment & management of human resources; performance management compliance and advice to influence and promote a culture of continuous performance and ensure that mechanisms for a more inclusive, relevant and supportive performance culture; occupational health and related supports including the staff physician.

DESCRIPTION OF DUTIES

Summary of Assigned Duties:

To provide administrative support to the Human Resources team, particularly to support the Client Relations team.

Key duties:

Under the supervision of the HR Business Partner, responsibilities include but are not limited to the following:

  1. Assist with non-staff contract.
  • Support to Focal point for the EURO internship programme
  • Provide administrative support to the technical units and interns.
  • Calculate subsistence allowances for interns and support colleagues in Financial Control and Procurement with the payments of the subsistence allowance to interns.

    1. Review requests for Special Services Agreements and forward to HR Business Partners.

    2. Consultant programme

  • Support HR clearance for consultant contracts by analytically reviewing the submissions, making sure they are in line with the policy, and prepare the recommendation to HR officer for final clearance.

  • Assist with publication of consultant vacancy notices.
  • Update consultant roster.

    1. Maintain reporting and pivot tables for reporting on regular and ad-hoc needs and support with statistical reporting.

    2. Assist with other HR actions

    3. As focal point for preparation of certificates and attestations, the incumbent will liaise directly with staff requesting certificates and attestations based on pre-prepared templates and will review these requests:

  • Certificates of earnings and tax exemption

  • Attestations confirming employment

    1. When needed, assists staff with the processing of requests for issuance and renewal of UNLPs and liaise with counterparts in HQ on these.

    2. Other

  • Support the recruitment team when required and during peak periods

  • Back-up to the Team Assistant and other colleagues in HR as needed
  • Any other tasks as required

REQUIRED QUALIFICATIONS

Education

Essential: Graduation from a secondary school or equivalent.

Desirable: Relevant higher education.

Experience

Essential: At least 3 years of progressively responsible experience in the secretarial/administrative field.

Desirable: Experience in an international environment or institution. Relevant experience in WHO or in the UN.

Skills

Proficiency in the use of standard office computer software, note taking and operation of computerized systems and databases. Ability to identify and manage one's own emotions, as well as helping others to do the same.

REMUNERATION

  • WHO offers staff in the General Services category an attractive remuneration package, which for the above position includes an annual net base salary starting at DKK 285,704 (subject to mandatory deductions for pension contributions and health insurance, as applicable) and 30 days of annual leave.
