Job Description

Job Overview:

Under the direct supervision of the HR Manager, the Human Resources Administrator (HRA) supports the affairs related to the day to day running of IRC Washington and is the focal person providing key support on HR administration. The HRA will assist in the human resources activities including recruitment and orientation, personnel files, time attendance management and orientation.

Major Responsibilities:

Recruitment & Onboarding

- Initiate and coordinate all the recruitment requests and follow through on hiring procedures in line with the policy including sharing applications with hiring managers - Prepare and post all job advertisements for all vacant positions in appropriate channels and ensure wide and appropriate distribution, this includes e-filing of application and sending out HR communications - Maintain a recruitment resource database of job descriptions - In conjunction with the HR Manager, maintain an organized recruitment resource database and weekly update the recruitment status report and send it to all managers on a weekly basis - Organize interviews and follow through on hiring procedures in line with the IRC policy including conducting reference checks and managing background checks - Liaise with hiring managers to ensure new staff are oriented upon hire in all IRC offices. Includes setting up email accounts, providing pre-assignment information, organizing the onboarding schedule, orienting employee to the IRC Way in the office

· In conjunction with the HR Manager work closely with Finance to provide needed payroll processing information

Administration

- Preparing and track offer letters and employment agreements. - Prepare COS (Change of Status) forms as required - Maintain accurate and up to date personnel records of all employees including orderly archiving

Exit Management

- Process and track all exit paperwork for all staff - Work closely with supervisors to ensure exit interviews are offered to all staff and data is captured in the online exit survey to ensure a learning and reflective culture

Other

- Prepare regular and ad hoc reports - Respond to queries on HR administrative matters - Comply with all policies, procedures and protocols of the agency - Other duties as assigned by supervisor

Position Reports to: Human Resources Manager Indirect Reporting: Not Applicable Other Internal and/or external contacts:

Internal: IRC Staff, Volunteers, and Interns, all IRC organization

External: Clients, HR partners, HQ HR, All related administration offices

Qualifications

Job Requirements:

• Associate degree in business administration, management or Social Studies or equivalent 3 years of work experience (2 years in HR and 1 year of general work experience)

• Strong computer skills particularly MS. Office package (Word, Excel, Teams, Outlook).and recruitment databases

• Being highly organized/responsive and having attention to details

• Self-directed and thorough in working with procedures, data-entry/record keeping and ability to work as part of a team;

• Should have a great interpersonal and communication skills

• Good English written and oral communication skills

• Ability to adopt in a cross-cultural environment, previous such experience is preferred

• Able to work under pressure and in a team

Working Environment:

• Mix of standard office work environment (remote and In-Office)

• Mix of both remote and In-Office attendance requirements
