Rationale and context of the assignment

The KM element of the program is fundamental to the success of advocacy and visibility and as such UNICEF Zimbabwe seeks to recruit an intern to assist and support in designing developing materials, creating archival systems, filing publications and upload existing quality photos to the Global Image Bank.

Scope of work and objectives

UNICEF Zimbabwe requires an enthusiastic, hard-working, determined multi-media Intern with a talent in graphic design and knowledge of visual production and printing processes and software to ensure that assets, publications and photographs are in the correct format for filing and uploading.

Under the guidance of Chief of Communication and the Senior Communications Associate the intern will assist in the following tasks:

  1. Support to the UNICEF Senior Communications Associate/graphic designer in the creation, design editing and sharing of materials.
  2. Compile all photographs and videos into relevant archival libraries.
  3. Liaise with UNICEF graphic designer for access to all electronic design files, and guidance on correct formatting and conversions necessary for archiving and website uploading.
  4. Migrate all Freehand files to illustrator and review for correct conversions as according to guidance from Graphic designers.
  5. File/archive all design files systematically for easy access.
  6. Upload all selected design files to a local share point.
  7. Participate in online training provided by UNICEF HQ or an accredited consultant on use of relevant software and guidelines for uploading pictures to the global WeShare platform.
  8. Using UNICEF photo documentation guidelines, select pictures from professional photographers for uploading to global photo library under Zimbabwe section.
  9. Add all required meta-data to each selected picture before uploading to global photo share to enable search ability.
  10. Organise and uploaded pictures to global website by thematic area.
  11. Organise and correctly label videos and archive.
  12. Develop guidelines for archive system and share with graphic designer.
  13. Any other support required to ensure smooth running of the section.

Implementation

Under the guidance of the Chief of Communication and team, the work will be implemented at the Zimbabwe UNICEF country office in collaboration with the Senior Communications Associate/Graphic Designer.

Activities

The expected activities are;

    • Create an approved Archive system suitable to ZCO needs and provide guidance to the function of the system.
    • Make all necessary conversions of design files in collaboration with graphic designer suitable for print and Web.
    • Migrate files Freehand files to illustrator
    • Reorganise and file all design assets and materials in collaboration with Communications and graphic designer.
    • Upload pictures to global WeShare platform ensuring completed meta-data and other stipulated guidelines.

Duration, Tasks and Deliverables

This will be a full-time internship; the duration will be for 6 months from date of assumption of duties.

The intern will assist the Communications team for a period of 6 (six) months. The proposed schedule of activities will be as per the following:

  • Compile all digital files onto archival hard drive (4 weeks)
  • Create approved Archival System (4 weeks)
  • Convert files to PDF format for both print and website use (4 weeks)
  • Convert Freehand files to illustrator files (2 weeks)
  • Organise all files into systematic Archive (4 weeks)
  • Weshare Training, Capture meta data, select and Upload photos to global Weshare platform (4 weeks)
  • Develop user guide for archive system (2 weeks)

Key deliverables

  1. All freehand files converted to usable illustrator file and reviewed for accurate capturing
  2. All final design files converted to PDF for PRINT
  3. All final design files converted to PDF for electronic and web use
  4. All digital files categorized and filed systematically into thematic areas
  5. All digital files correctly labelled and filed systematically
  6. At least 100 photos complete with meta data and uploaded to the global Weshare platform
  7. Local photo library organized by thematic areas
  8. Complete guidelines for archive system

Duration:

This will be a full-time internship; the duration will be for 6 months from date of assumption of duties.

  1. Conditions of Intern:
  • Health/Medical insurance: Individual is required to hold valid health/accident insurance covering the internship duration. UNICEF accepts no responsibilities for costs arising from accidents and/or illness incurred during the internship whether on or off UNICEF premises.
  • Employment: There is no expectancy of employment at the end of the internship.
  • Visa: UNICEF is not responsible for obtaining any necessary visas.

Facilitation:

UNICEF will provide all necessary administrative and logistical support according to guidelines for supporting Interns.

Requirements for Intern: Key Competencies, Skills and Experience

  1. Be enrolled in an undergraduate, graduate degree or related programme or have graduated within the past 2 years in design, Multi-media design or related technical fields.
  2. Knowledge in the following graphic software’s: Adobe Photoshop, InDesign, Illustrator, added advantage for Macromedia freehand and QuarkXpress.
  3. Excellent communication skills in English.
  4. Experience with similar assignments an added advantage
  5. Applicants must be at least 18 years old.
  6. Have excellent academic performance as demonstrated by recent university or institution records.
  7. Effective communication and organization skills.
  8. Computer literate with e-mail, word processing and spreadsheet skills.
  9. Good interpersonal skills and ability to interact with multidisciplinary teams.
  10. Fluency in English and local language is required. Knowledge of another official UN language is considered as an asset.
  11. Have no immediate relatives (e.g. father, mother, brother, sister) working in any UNICEF office
  12. Have no other relatives in the line of authority which the intern will report to.
