Danish Refugee Council (DRC) is a leading protection agency with a mandate to protect, advocate and promote durable solutions for displacement affected populations.

DRC has been operating in Ukraine since 2014, currently DRC employs over 400 staff in Ukraine and will continue significant scale-up in 2023 to implement emergency response in the Protection, Livelihoods, Shelter/NFIs and Humanitarian Disarmament and Peacebuilding (humanitarian mine action) sectors, using direct interventions, support to duty bearers and civil society organizations (CSOs), and partnerships with CSOs. DRC will continue and adapt its durable solutions portfolio to the evolving context.

Overall purpose of the role:

The grants specialist will be based in Kyiv and support in the overall functioning of the DRC grants department in Ukraine. The grants management specialist will work with the grants team to ensure that donor requirements for all ongoing projects and proposed projects are communicated with relevant departments and teams, support the grants management manager in identifying and preparing new funding opportunities, generate high quality reports and materials for donors on ongoing projects, and work with the grants manager and Head of Program to prepare presentations, concept notes, updates, etc. as needed. The specialist may be requested to support on project cycle processes such as kick-off and close-out meetings, early spending requests, etc., as well as other ad hoc tasks as needed.

Responsibilities:

Proposal development and reporting

  • In coordination with the grants management manager and Head of Programme, the GMS will support in the compilation of proposals including supporting on drafting annexes, coordinating with support and program teams, etc.
  • Support the grants manager in identifying new opportunities, scheduling grant meetings, and providing guidance on proposal development processes
  • Support in compiling strong reporting and communications to donors.

Support to Project cycle management

  • Support in preparing kick-off and close-out meetings in coordination with the grants management manager.
  • Ensure that project implementation plans have the relevant grants related information, are updated regularly, and have key donor compliance information.
  • Support the grants manager in updating DRC’s ERP system with all relevant grants related information is regularly uploaded.
  • In coordination with the grants manager, ensure that all departments are aware of key donor specific compliance information and how it should be applied to ongoing projects.

Communications and external engagement

  • In coordination with the communications department, support in the development of communications materials to be shared with donors and other relevant stakeholders.
  • When necessary, attend donor coordination and cluster meetings, sharing updates to relevant departments in a timely manner.
  • Support the HoP and grants manager in preparing donor briefs and project updates to share with relevant stakeholders
  • Other ad hoc tasks as required.

Experience and technical competencies:

  • 3 years of grants related experience with donors such as BHA, UNHCR, EU, ECHO, etc.
  • Experience in both humanitarian and development contexts an asset
  • Demonstrated experiencing managing competing priorities with tight deadlines

Education:

  • Masters degree in a relevant area

Band: G– NON-Manager

Designation of Duty Station: Kyiv / Non-family duty station

Start date: September 2023
