  • French / Spanish / Arabic proficiency.
  • Experience working with EU donors (specifically ECHO) and US donors (BHA, BPRM).
  • Advanced experience using Microsoft Applications, especially Excel and Power Automate.
  • Experience managing communities / communities of practice.
  • Experience organizing and implementing online & live events.

Danish Refugee Council (DRC) operates through both grants managed directly at DRC Head quarter (HQ) and through grants managed in country and regional offices. The Grants Management Specialist (GMS) manages and supports both these modalities to differing degrees through the core tasks of reporting and proposal coordination and submission, and management of the grant record in DRC Dynamics.

Who are we?

The GMS is a part of DRC’s Grants Management Unit in HQ. The mandate is to support colleagues across DRC in efficient and effective grants management, ultimately aiming at timely and high-quality assistance to the field operations, thereby to the People of Concern. While daily grants management is centred at the Country Office, the HQ Grants Management Unit provides a layer of support and oversight ensuring donor and internal policy compliance on reporting and proposals, timely installment management ensuring overall cashflow and liquidity, and document and data management through DRC Dynamics (DYN, based on MS Dynamics 365) ensuring audit readiness and strategic analysis of the DRC grants portfolio. The Grants Management Unit in HQ comprises 9 GMS covering countries portfolios split between the 4 regional offices. The GMU is led by the Head of Unit and supported by a Global Grants Advisor and a student assistant.

About the job

For HQ submitted grants, the GMS is the person having the primary focus on grants management, administration, and donor compliance for proposals and reports for their geographical portfolio. The GMS will work closely together with colleagues at HQ and the GMU to:

  • Support Country Offices with coordination and compliance for submissions to institutional donors, including facilitating communication between Country Offices and relevant external and internal stakeholders
  • Closely follow-up on management and recording of all instalments received from our donors in close cooperation with HQ finance colleagues
  • Maintain the DYN grants record for HQ led donors and provide oversight and control for the entire donor portfolio for the relevant Country Offices and Regional Offices portfolio
  • Provide support, training, and capacity budling to Country Offices, and where needed, Regional Offices and HQ colleagues in grants management in DYN and donor and internal compliance
  • Supporting internal and external reporting through maintenance of an up to date DYN record for the entire Country Offices portfolio and utilisation of business intelligence tools
  • Daily ad-hoc support to operations
  • Contributing with technical input to internal processes when required

About you

To be successful in this role we expect you to be detail-oriented, patient, and persistent, flexible to respond to urgent request from both field colleagues and HQ management and having a solution-oriented attitude.

Required capacities:

  • Proven commitment to accountable practices and quality assurance
  • Experience of managing multiple donor contracts (including donor communications) and competency in utilising various donor portals for institutional donors (e.g., APPEL, US donor portals)
  • Experience working with grants management is considered an advantage
  • Experience from working with a humanitarian INGO and/or in a similar position based in the field, is considered an advantage
  • Practical experience with planning, developing, and facilitating the application of procedures and compliance
  • Ability to plan, co-ordinate and lead processes that include multiple stakeholders and interests
  • Fluency in English (speaking, writing, reading) is essential

Desirable:

We offer

Contract Length: Permanent

Working hours: 37 hours per week including lunch

Workplace: DRC Head Office, Borgergade, Copenhagen, Denmark

Start date: 1st May 2022 or as soon as possible

Salary and conditions will be in accordance with the agreement between DRC and AC/relevant agreement.

This is a national position for which local terms and conditions apply. Please note that you need to have the right to work in Denmark (through nationality or obtaining a work visa) in order to be considered for this role.
