Danish Refugee Council (DRC) is a leading protection agency with a mandate to protect, advocate and promote durable solutions for displacement affected populations. DRC has been operating in Ukraine since 2014, currently DRC employs over 250 staff in Ukraine and will continue significant scale-up in 2022 to implement emergency response in the Protection, Livelihoods, Shelter/NFIs and Humanitarian Disarmament and Peacebuilding (humanitarian mine action) sectors, using direct interventions, support to duty bearers and civil society organizations (CSOs), and partnerships with CSOs. DRC will continue and adapt its durable solutions portfolio to the evolving context.

Overall purpose of the role

This role has a country focus and ensures compliance with donors and DRC procedures and guidelines within the country. The role contributes to the consistent adherence to DRC Grants Management Operations procedures and processes, which are translated into action plans and day-to-day tasks. The role provides support and/or technical guidance to country operations while overseeing country activities.

  • Work with programme staff to develop high-quality and timely reports for donors and other country- and HQ-level communications.
  • Support the Grants Manager in the initiatives to expand the portfolios, including contributions to proposal development and program design.

Main responsibilities

  • Manage reporting workflows and processes between program teams, senior leadership, and HQ to ensure the timely and quality development and review of the project management documents and agreements.
  • Assist in preparing high-quality, timely reports for donors, partners, and government on program progress, ensuring all donor reporting requirements are met and strategically positioned to demonstrate DRCs leadership in programming in the country context.
  • Support the Grants Manager in providing timely, thorough responses to information requests from internal and external sources.
  • Lead initiative to identify, research, write, and report on key sector success stories for internal and external audiences, packaging stories that center on evidence to further illustrate impact of the programming.
  • Work closely with program M&E staff to ensure credible, best-practice monitoring and reporting of program activities.
  • Support in designing and editing of exceptional communication materials, including reports, activity plans, and information updates.
  • Support the Grants Manager in overseeing proposal development processes, including drafting and producing high quality concept notes and proposals.
  • Support the Grants Manager and Head of Programmes with the development of strategy and/or drafting of position papers, thought leadership pieces, and other related initiatives leveraging evidence from programs
  • Increase visibility and ensure leadership positioning through developing consistent communication materials, such as sector profiles, impact reports, program briefings, leadership and positioning pieces, and other relevant pieces.
  • Provide technical support, guidance, and tools to implementing partners at the proposal development stage.
  • Support in partnership with relevant staff the capacity assessment of local implementing partners and collaborate in partnership with relevant managers in designing capacity building plans, including grants management support.
  • Facilitate project registration processes with Ukrainian authorities

Reports to: Grants Management Manager

Required experience and competencies

  • At least 2 years of professional experience with an international organization
  • Knowledge/experience with information management, agreement management or project management
  • Familiarity with international aid to Ukraine
  • Ability to represent DRC to government officials, local groups and community members
  • Fluency in Ukrainian language; Advanced English proficiency
  • Excellent skill in MS Word, Excel, and PowerPoint
  • Experience working with NGOs and/or the humanitarian sector is an advantage
  • Familiarity with Enterprise Resource Planning and cloud software is an advantage.

Required education

  • University degree in international relations, project management, business administration, or equivalent professional qualification
  • Training/Certification in project management is an advantage

We offer

Contract length: 3 months with possibility of extension based on available funding.

Location****: Kyiv, Ukraine

Start date: Juen 2023

Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment for National Staff.
