Assistant – 17.550,00 - 18.620,00 MDL gross

Officer – 23.520,00 – 24.960,00 MDL gross

Position Overview:

As a member of the Country Programme (CP), the Grants and Partnership Assistant (GPA) will be supporting the Grants and Reporting Coordinator (GRC) and Grants and Reporting Officer (GRO) in grants review and oversight, particularly in compiling the relevant documents and annexes for project proposals and reports in accordance with donors’ requirements. Primary focus of GPA will be on the projects which include working with sub-grantees (local NGOs, CSOs). The tasks will include collection of relevant inputs from sub-grantees on the projects and performing of routine monitoring of partners’ activities. Grants and Partnership Assistant’s responsibilities will also include help in collecting and compiling information internally from other PIN departments and from external sources.

Duties & Responsibilities:

Grants

− Provides support during the preparation of concept notes, project proposal development and project modifications;

− Supports in drafting and proofreading intermediate and final donor reports to prepare them for final revision by GRC;

− Ensures that relevant staff are provided with timely information and materials – including guidelines, templates and examples – in order to develop quality reporting contributions;

− Compiles and archives the documents relevant for the Grants and reporting Department into PIN internal systems (Share Point, ELO and Navision);

− Supports in maintaining an internal tracking database of the assigned donor/s reporting timelines, and coordinates with the Head of Programmes, programme teams and the MEAL team to ensure timely data collection and compilation of information;

− Helps with proofreading and translations of the project proposals, budgets and other project documents during project implementation and makes sure they are properly approved by the management and formally correct;

− Supports organisation of CP visits - meeting arrangements, exposure trips; advises visitors on free time options;

− Prepares the context analysis and needs overviews when needed;

Partnership

− Sets up and maintains viable partnerships with selected project partners;

− Maintains an updated database of partners and key contacts;

− Fulfils and guides the local partners on the reporting efforts by collecting necessary data and information from project stakeholders and personnel;

− Assists in the preparation of partnership assessment documentation, agreements and MOUs;

− Ensures timely submission of required reports to partners and stakeholders;

− In cooperation with the G&R and Project teams reviews narrative and financial reports submitted by partners;

− Maintains accurate records of partnership activities and outcomes;

− Coordinates across teams to develop monitoring and evaluation targets and submit data electronically through online system;

Requirements:

- At least two years of experience of working in non-profit/ social sector; experience with humanitarian and/or development organization is desirable;

- Experience of working with sub-grantees, partners;

- Experience in grants development will be considered an asset;

- Understanding of I/NGO sector and social and cultural dynamics in Moldova (understanding of the humanitarian, civil society context in Moldova will be an advantage);

- Analytical skills, experience, and ability in analysing and presenting data, but also reflective thinking, and being able to understand the stories behind the data;

- Strong organizational, and problem-solving skills, creativity, and ability to adapt approaches in fulfilling various tasks;

- Excellent communication skills, including fluent written English and spoken skills, including exceptional report writing and editing skills; fluency in Romanian; good command of Russian is desirable;

- Ability to engage with different stakeholder internally (team members from other departments, e.g. programme/project staff, logistics, finance, etc.) and externally (donors, individuals, representatives of other I/NGOs, representatives of different level authorities, civil society organizations);

- Ability and readiness to work in dynamic, multilanguage and multicultural environment;

- Willingness to develop professionally within grants management domain in INGO.
