The Private Fundraising and Partnerships (PFP) Division works with National Committees, UNICEF country offices and global private sector partners to drive income growth. The Programme Donor Matching team in the Financial Services Unit serves as a broker between fundraisers and program colleagues to encourage private sector donors – especially corporates, foundations, and major donors – to provide UNICEF with the highest quality income. A range of services and products are provided, which ensure that funds are strategically allocated, that UNICEF is able to deliver the highest quality program results, funds are correctly coded according to UNICEF coding guidelines and that donors receive high-impact and meaningful donor reports that meet their expectations.

The post reports to the Finance Specialist (Fund Monitoring) in Programme Donor Matching Team, Financial Services Unit, who establishes the objectives and provides general and technical guidance as and when needed. The incumbent, however, is expected to be able to work with minimal supervision.

The incumbent of the post must exercise judgment and take the initiative to recommend and implement corrective action including proposing system enhancements. Please find the position in the attached organization chart.

This post is responsible for the set up and process Regular and Other Resources contributions from National Committees, private sector donors and locally raised Private Sector Fundraising (PSFR) funds from country offices under the supervision of the Finance Specialist (Fund Monitoring), Financial Services Unit, and in consultation with the PFP PSFR Section colleagues.

The post is also responsible for updating grants with reporting and extension requests and for creating of grants for programme implementation; for maintaining a monitoring system of Regular and Other Resources contributions, and to provide information to country offices, NatComs and HQ divisions as required.

In addition, the post is responsible for contributing to projects that involve development and enhancement of systems in support to and working closely with the subject matter expert within the contribution management unit.

How can you make a difference?

Summary of key functions/accountabilities:

1. Contribution management: National Committees Regular and Other Resources income: Managing Regular (RR) and Other Resources (OR) from National Committees (NatComs) and private sector sources, ensuring that funds are appropriately allocated to UNICEF Programmes:

  • Reviewing and managing contributions submitted from NatComs and other private sector sources, once reconciled.
  • Creating new grants and amending existing grants in SAP VISION and in Funds Management System (FRM/UNISON).
  • Update grant parameters, incl. text descriptions, and attaching all required documents to the grants.
  • Process soft credit and in-kind contributions.
  • Managing timely allocation of contributions to meet monthly and year-end accounts closure.
  • Managing grants extension requests in SAP VISION and FRM/UNISON for OR contributions from NatComs.

2. Managing requests for support and information from internal and external stakeholders:

  • Respond to requests from National Committees, Country Offices, Headquarters units (i.e., PD, DFAM, PPD, etc.) and other PFP sections (i.e., Corporate and Foundation Fundraising, Fundraising Services, etc.) for information related to contribution management policies and procedures, including contributions and grant-specific issues.

3. Contribution Management: Country office private sector income:

  • Managing Private Sector Fundraising (PSFR) income from Country Offices.
  • Monitoring communication with field colleagues and/or PFP Finance related to country office contributions and manage these contributions in the CORE/ Salesforce and SAP.
  • Verifying the accuracy of the information provided and liaising with field colleagues when needed to ensure that amounts registered in SAP VISION are correct.
  • Liaising with Country Offices to ensure that reporting requirements, background documents are provided and appropriately filed or safe guarded.
  • Creating new grants and amending existing grants in CORE/ Salesforce and SAP VISION and attaching all required documents to the grants, in accordance with the UNICEF coding guidance.
  • Processing soft credit and in-kind contributions.
  • Managing timely allocation of contributions to meet monthly and year-end accounts closure deadlines.
  • Provide ongoing guidance and instructions on how to process PSFR funds to Country Offices.
  • Managing grants extension requests in SAP VISION for OR contributions from PSFR Country Offices.
  • Managing and compiling contributions agreement signed by Country and/or Regional Offices.
  • Manage the allotment of Investment Funds to Recipient Offices after the approval is received.

4. Contribution management: Expired grants:

  • Annual closure of expired grants for National Committees and PSFR Country Offices.
  • Review tables on remaining funds for expired grants.
  • Make grant changes using signed Note for the record (NFR) & Signed agreement from NatComs or Country Offices.
  • Prepare summary of fund reimbursed to donor, funds reprogrammed, and funds reallocated to RR.
  • Inform COs and NatComs of new grants created form balances of expired grants.

5. Other Duties:

  • Perform other tasks as may be requested by the supervisor, including contributing to the team’s work in projects (e.g., Contribution to the RER review processes, testing of new procedures and transactions in FRM, VISION or changes to other systems).
  • Provide backup cover to other contribution unit team members as required.

To qualify as a Champion for every child you will have…

Education:

  • Completion of secondary education is required.
  • An accounting certificate from an accredited institution will be an asset.
  • Training in the field of accounting, financial administration, or related fields is an asset.

Experience:

  • A minimum of 5 years relevant work experience is required, three of which should be in accounting, financial administration, or related work with emphasis on computer application.
  • Proven ability to work with numbers and currency exchanges is required.
  • Proficiency in the use of standard MS Office applications (SharePoint, Word, Excel, and PowerPoint) is required.
  • Knowledge of UNICEF structures and finance systems is an asset.
  • Good knowledge of UN and /or UNICEF automated systems and software applications (SAP, Funds Remittance Management, Salesforce), is an asset.
  • Experience with the UN and/or UNICEF rules and regulations including finance systems (grant management, budget, contracts procedures) is an asset.
  • Experience with grant/ budget management activities is an asset.

Language requirements:

  • Fluency in English is required.
  • Knowledge of another official UN language (Arabic, Chinese, French, Russian, or Spanish) is an asset.
