UNICEF's Global Shared Services Centre (GSSC) in Budapest, Hungary provides services to UNICEF offices globally in the areas of Finance, Human Resources, Payroll and Information Technology.

How can you make a difference?

The role of the IT Associate is to support the smooth onboarding process of UNICEF GSSC staff and prepare workstations with hardware equipment, including laptops, docking stations, cables and accessories. The IT Associate will work closely with local IT team to ensure new laptops are configured before assigning to staff.

The position will be responsible to provide support in managing IT storage, handling of IT assets and hardware equipment, ensure proper tagging and registration of asset items throughout the life cycle of IT assets in accordance to UNICEF standards, policies and procedures.

The present announcement is for a temporary appointment of 364 days with a possibility of extension.

Anticipated start date: 1 September 2022

This will involve:

  1. Maintain IT assets in a ready and functional state prior to staff onboarding
  • Coordinate with local IT team to ensure that laptops are properly configured, patched and updated prior to onboarding of new staff
  • Monitor and report any shortages that can affect IT asset readiness
  1. Collaborate with Onboarding focal person to prepare and execute onboarding of new GSSC staff
  • Collaborate with focal person to prepare for onboarding of GSSC newcomers
  • Act as a focal point for IT related activities for onboarding of new staff
  • Ensure to report any shortcomings of issues to onboarding focal person which can affect onboarding
  • Work closely with other colleagues in Operations team in re-organizing the layout and seating arrangement and maintain a technical record of workstations
  1. Install IT hardware and accessories on workstations
  • Prepare workstations with necessary hardware IT equipment and cables
  • Install docking stations and laptops taking into consideration security and seating requirements
  • Assist newcomers with switching on their laptops and other equipment and login for the first time and support staff member to escalate any technical issues to customer care
  • Replace equipment if required, decommission of old equipment before disposals
  • Collaborate with local IT team in BIS section and escalate any technical issues
  1. Maintain IT equipment inventory and storage along with systematic tracking of it.
  • Perform any duties related to the IT asset management
  • Receive and tag new equipment, ensure all equipment is properly recorded and registered before releasing to users
  • Receive IT assets and equipment from departing staff and ensure proper recording in the IT asset record.
  • Maintain IT equipment inventory and storage with real time recording of any changes in the system.
  • Collaborate with Asset focal person in maintaining the GSSC asset register and VISION asset database.
  1. Support in conferencing with ICT and audiovisual equipment as and when requested.
  • Support Admin Associate (events) in setting-up basic IT and audio visual equipment in the conference rooms during hosting of global events.
  • Ensure that all equipment are well prepared before the beginning of the event.

To qualify as an advocate for every child you will have…

  • Completion of secondary education is required,
  • University level courses in computer science, information systems, engineering, telecommunications, or equivalent qualifications is an asset. A completed university degree from an accredited institution will be counted toward the minimum work experience requirements.
  • Minimum of six (6) years relevant work experience in IT or hardware support is required.
  • Advanced knowledge of Microsoft Suite of Products (MS Word, MS Excel & MS PowerPoint, Outlook) is required
  • Experience in installing, operating and maintaining IT equipment is required
  • Fluency in English (verbal and written) is required.
  • Work experience with a development organization with multi-cultural and diverse environment is an asset.
  • Work experience in dealing with Customer Support and Services is an asset.
  • Knowledge of UN/UNICEF'S rules, regulations and procedures is an asset
  • ITIL Foundation Certificate is desirable
  • General knowledge/understanding of handling and safeguarding IT equipment
  • Knowledge of an additional UN Language (Arabic, Chinese, French, Russian, Spanish) is a strong asset.
  • Knowledge of the local language of the duty station is an asset
