  • Experience with diesel engines
  • Professional Drivers’ License – 8000 kg
  • Solid knowledge in electronic and mechanic issues
  • Must be flexible as may be called upon at odd hours

Key Responsibilities:

Purpose of the position

Reporting to the Fleet and Administration Manager, this position will assist in the Coordination and Support of Fleet activities at WVI Burundi. Key responsibilities include:

  • To maintain an updated fleet inventory and ensure that World Vision’s fleet supports the entire operation efficiently.
  • Contribute to establishment of / and or Compliance to WVI Burundi Fleet Management Policies and Standard Operating and Procedures.
  • Support Management of Fuel, Fleet repairs and Maintenance.
  • Supervise and build capacity of drivers for effectiveness in operation.

Major Responsibilities:

  • Keep all Vehicles and all other Fleet Equipment properly maintained and repaired, registered, licensed and appropriately tested in compliance with WVI Burundi Policies and Burundi Government regulations.
  • Ensure all required documentation on all vehicles are current and up to date (timely renewals for road licenses, Control Technique, insurance etc.)
  • Effective management of drivers to ensure fleet availability to meet all requests by scheduling, forecasting and quarterly assessing current organizational fleet demand trends planning for surge demand.
  • Support Implementation of Staff daily/Weekly and Monthly local and international travel plans as compiled by Fleet and Administration Manager.
  • Develop Motor Vehicle/ Cycle repair reports from Field and National Office, thereafter prepare consolidated reports showing Fuel Consumptions, Repair and Maintenance Costs, analyse trends and prepare reports for Mgt decision making.
  • Maintain updated maintenance logs for all the vehicle fleet and ensure maintenance schedules for both field and head office vehicles are adhered to. Ensure vehicle log books are filled.
  • Responsible for fleet operation, tracking and reporting, ensuring efficiency of vehicle usage.
  • Conduct analysis of vehicle status and make recommendations for timely replacements in order to improve efficiency
  • Work with supply chain to identify vehicle repair vendors for the official vehicle repairs and parts suppliers who must be evaluated annually for service performance. Also ensure that hired or contracted vehicles meet WVI Fleet Safety Standards.
  • Liaise with P&C, Police and Insurance company on accident procedures and internal investigations involving organizational vehicles and staff as well as insurance claims.
  • Assist in the selection, training and supervision of drivers ensuring that drivers performances are monitored, measured and their capacity enhanced.
  • Generate and submit monthly report to the Fleet and Administration Manager on activities – repair and maintenance, monthly fuel utilization, transport services, accidents, number of renewals, logbook filling, per vehicle, Overspeeding reports from the Fleet Management System etc.
  • Facilitate or Support Fleet Assets Disposal process.

Other Competencies/Attributes:

  • Computer Literacy
  • Professional Drivers’ License – 8000 kg
  • Solid Knowledge in electronic and mechanic issues
  • Must be flexible as may be called upon at odd hours.

Must be a committed Christian, able to stand above denominational diversities.

  • Attend and participate/lead in daily devotions and weekly Chapel services.
  • Perform other duties as required.

Qualifications: Education/Knowledge/Technical Skills and Experience

The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:

  • Educational level required: University degree in Business Administration, Logistics, should have held supervisory position with administrative responsibility OR Degree in Supply Chain Management with experience in Fleet Management and a certificate in Auto Mechanical Engineering
  • Other: Experience with diesel engines

Working Environment / Conditions:

  • Work environment: Office-based with frequent travel to the field
  • Travel: 20% Domestic/international travel is required.
  • On call: 25%
