Job Description

Position: Fleet Assistant Unit: Operation Wage range and range: 9A Place of work: Odesa, Ukraine

GOALS:

Fleet Assistant provides administrative and technical support to the IRC Fleet to ensure the effective use, enforcement and enforcement of Fleet Management Policies, Procedures and Guidelines in accordance with IRC rules and in accordance with the laws of Ukraine. RESPONSIBILITIES:

• Responsible for all transportation of people and daily operation of vehicles. Acts as a focal point for vehicle dispatching. • Driver management, responsible for planning and implementing daily travel plans • Provides processes to ensure that the IRC base fleet is managed, maintained and maintained in an appropriate, safe and economical manner. • Follows mechanisms for tracking staff movements and overall management of field visits at the base. • Fuel consumption monitoring, maintenance and repairs are carried out regularly in cooperation with drivers and under the supervision of a fleet officer. • In close cooperation with the Security Officer, ensure that all travel is adequate and acceptable in accordance with the latest security situation reports, that there is a clear plan/route for them, and that passengers are properly equipped and prepared (including for unexpected deviations). • Consolidation of vehicle records, namely consolidation of vehicle mileage, monthly reports, planning travel schedules, working closely with accountants, maintaining relationships with service stations, car washes, auto shops, etc. • Ensure vehicles are properly equipped with the tools and equipment required by local program safety policies and procedures. • Ensure that IRC drivers maintain accurate, legible, up-to-date and complete travel records in their vehicle's logbook. • Ensure that IRC drivers assigned to the vehicle have a spare tire, tools and other equipment, and a first aid kit. Regular checks of fuel, oil, coolant levels, tire pressure, damage and vehicle cleanliness. PROFESSIONAL REQUIREMENTS:

• Education: degree in transport, logistics or another relevant field • Experience: At least 1 year experience in transport or logistics in a multicultural environment is preferred. • Holder of a valid driver's license

SKILLS AND COMPETENCES DISPLAYED:

• Ukrainian readable and colloquial, English • Knowledge of working with computers, spreadsheets Microsoft Office Word and Excel and Outlook. • Strong sense of personal integrity • Attention to detail and ability to multitask • Team spirit and problem-solving skills • Excellent interpersonal and communication skills • Demonstrates a systematic and efficient approach to work • Gets along well and works well with people of different cultures, genders and backgrounds

MAIN WORKING RELATIONSHIPS:

Internal: regular relationships with program staff, operations staff and country supply chain staff at all levels.
