Generic responsibilities

These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work- and Professional Development Plan.

  1. Adhere to NRC policies, tools, handbooks and guidelines
  2. Assist with the implementation of the support function portfolio according to plan of action
  3. Prepare and develop status reports as required by management
  4. Ensure proper filing of documents
  5. Promote and share ideas for improvement of the support function

Qualifications

  1. Competencies

These are skills, knowledge and experience that are important for effective performance.

Generic professional competencies:

• Bachelor degree in Finance/Accounting or relevant Field

• Minimum of 3 years relevant experience.

• Knowledge online real-time accounting systems

• Good communication skills

Fluency in English and Portuguese

Context/ Specific skills, knowledge and experience:

• Experience from humanitarian sector or other relevant background

Added value Knowledge in local language

Responsibilities

Specific responsibilities

These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly.

  1. Record all cash movements and undertake periodic cash counts
  2. Assist in bank accounts and cashboxes reconciliations
  3. Ensure timely recovery of all advances including travel and mid-month advances and provide monthly update of any outstanding advances to the finance officer
  4. Prepare and arrange for bank withdrawals and transfers and present for verification
  5. Verify all invoices, vouchers and receipts and supporting documents and enter in the system as appropriate on daily basis.
  6. Process and make payments as provided in the approved budget.
  7. Maintain proper filling system for all financial, audit and accounting documents
  8. Prepare the audit sample documents and verify it.
  9. Making copies and scanning of all vouchers and the support documents.
  10. Work closely with Audit and compliance departments to verify the files during the Audit exercise and retrieve the files from the storage.
  11. Work with the audit team during the exercise and provide the necessary support required.
  12. Performing any other duty assigned by the line manager

Critical interfaces

By interfaces, NRC means processes and projects that are interlinked with other departments/units or persons. Relevant interfaces for this position are:

  • All NRC Program and Non Program Staff
  • Auditors (Internal/External)
  • Suppliers/Contractors

Scale and scope of position

Staff: Numbers and titles of staff directly managed by the post holder, and numbers of staff and daily workers/incentive staff responsible for overall in the unit (None) Stakeholders: Key external stakeholders the post has relationships with (e.g. UN agencies, INGOs, local NGOs, civil society, governmental bodies) Budgets: List of budgets covered by post holder, and size of budget Information: Brief description of the information resources the post-holder is responsible for at office level ( Agresso, Intranet) Legal or compliance: Brief description of any legal or compliance responsibility the post holder has (term of employment, Code of Conduct, NRC Policies, vendors, donors)
