Key Responsibilities:
Support Program Finance Team in administrative tasks particularly in audit related documentation, safekeeping and management of soft and actual copy of documents.
Major Activities:
Downloading, printing, stamping, filing and safekeeping of PNS and Grants
documents from WV Systems
- Help to retrieve documents from the system (Purchase Request to Proof of Payment)
- Manage data banking of documents in One Drive/ MS Teams or WeConnect
- Help to organize scanned files
- Support in keeping files at storage rooms and cabinets
- Update document monitoring log
Support in retrieving actual (hard copy) financial documents
- Collaborate with National and Field Office finance staff in retrieving prior years’ financial documents (invoice, delivery receipt, official/collection receipt)
- Organize Files according to type, supplier name and project
- Help to safe keep these documents to storage
- Update document monitoring log
Other tasks
- Give recommendations when necessary to improve the Document Management Business Process
- Answer phone calls and receiving mails/docs
- Support follow up call to suppliers for urgent need
- Perform errands as necessary
Minimum education, training and experience requirements to qualify for the position:
Education: Bachelor’s degree related to accounting or business
Skills: Knowledge in MS Word & Excel. Ability to manage multiple tasks and demands effectively with staff in a team-oriented environment
