Job Description

Job Summary

The Finance Coordinator is a support position within the IRC Tucson office. The coordinator reports to Senior Finance Manager and works with other Finance team members to support and facilitate collaboration between programs and finance. There will be responsibilities in the areas of programs, finance, inventory management, banking, donor, and vendor relationship and general administration.

Major Responsibilities:

· Prepare Bank of America uploads for RCA and Programs

· Issue funds to Prepaid (Bank of America) card for client’s cash assistance upon request

· Post vendor payment for BOA in Integra system

· Process vendor payments utilizing Electronic Fund Transfer

· Assign Bank of America Cards to new clients

· Post and attach cash receipts to invoice journals for documentation

· Maintain records of all cash receipts and prepare weekly bank deposit

· Coordinate IRC staff credit cards reports and prepare reconciliation on a monthly

· Follow up with staff to ensure all P-card transaction are submitted on a timely basis

· Reconcile Bank of America fund upload with IRC prepaid accounts for client’s cash assistance on a monthly basis.

· Issue immigration monthly revenue reports to reconcile with immigration program.

· Responsible for processing and disbursing checks and filing and maintaining financial documents.

· Assist Finance Manager in donor billing.

· Assist Finance Manager in fiscal compliance with adhering to donor requirement’s as well as internal controls by providing guidance to staff to ensure fiscal requirements are met and rules and regulations are observed.

· Support Finance Manager in audit preparation and fiscal year end close.

· Serve as backup to Finance Manager and/or other designated Finance staff.

· Comply with all IRC policies, procedures and protocols including adherence to the IRC Way and Child Safeguarding.

· Participate in all program meetings, staff development activities, and fully engage as a member of the IRC team.

· Other related duties as assigned

Key Working Relationships:

Position Reports to: Senior Finance Manager Indirect Reporting: Executive Director, Deputy Director of Program Other Internal and/or external contacts:

Internal: IRC staff, interns and volunteers

External: Position helps coordinate services and is responsible for maintaining relationships with appropriate vendors and some community partners as needed

Job Requirements:

· An undergraduate degree in Business Administration, Finance, or Accounting; or comparable related experience may be substituted.

· A minimum of 2 years finance experience, preferably in a grant-funded or social services organization.

· Accounting and grant management experience preferred. Reporting experience preferred.

· Experience writing vouchers and working on financial issues.

· Excellent computer skills, including all Microsoft Office programs and database experience.

· Self-starter, able to work independently with little supervision.

· Highly organized with strong attention to detail.

· Ability to prioritize and manage time effectively.

· Ability to communicate clearly and effectively with fluency in written and spoken English.

· Experience in a multi-cultural environment preferred.

· Undergraduate degree strongly preferred

· Must possess or be eligible to receive a fingerprint clearance card.

Working Environment:

· Standard office work environment.

· Ability to safely lift 25 lbs.
