The function of Geneva Common Services (COS) is to provide operations and administration, ICT, HR, financial management, and accounting services to UNICEF entities and staff based in Geneva to support the achievement of business results. As such, COS contributes to the UNICEF Strategic Plan enablers ‘Agile and responsive business model’ and ‘Dynamic and inclusive people and culture’. This Temporary Appointment is placed under the Finance team of COS.

For every child, a Champion

To perform a variety of specialized tasks in finance and accounting including the processing of payments, monitoring bank transactions, and analyzing general ledger accounts.

How can you make a difference?

Summary of key functions/accountabilities:

1. Cash management

  • Monitor vendor account movements in Geneva bank accounts and record cash deposits
  • Submit vendors account's replenishment requests
  • Generate cash flow reports on a monthly basis.
  • Management of all UNICEF Corporate Credit Cards issued in Geneva including the issuance of new cards and monthly payment reconciliation
  • Focal point for P-Card for Geneva Common Services
  • Petty cash custodian and the overall administration of petty cash for all stakeholders

2. Account analysis

  • Review and analyze regularly open items such as prepayments, accounts payable, staff balances, unapplied receipts and follow up and clear accounts as required
  • Identify transactions that do not comply with the policy or advances that may not be recoverable.
  • Focal point for all VAT Receivables. Monitor postings, review, follow up, and interpret correct action required for recovery of receivables.

3. Trip cost management

  • Process all approved Travel Authorizations and Travel Claims in VISION for all Geneva-based entities.
  • Analyze staff receivables/payables and identify the nature of outstanding amounts to follow up with staff /consultant to reimburse to UNICEF.
  • Reconcile the payment for Business Travel Accounts in coordination with Travel Unit
  • Monitor the unspent TA Dashboard, and work with the travel unit to take appropriate action to clear the unspent TAs dashboard.

4. Financial guidance, support, and training

  • Assist staff with their Master Data Management and invoice submissions and responds to their inquiries to ensure timely payments of requests.
  • Provide ongoing support and training for the year-end closure of accounts, changes in policy, and/or processes in Finance

5. Mutual Assistance Fund (MAF) reimbursements to UNICEF National committees

  • Review and verify submissions in the MAF application and follow up a payment process.
  • Review and validate expenditure reports in preparation for the semi and annual MAF reports which are submitted to the standing group.

  • Financial management and reporting are successfully carried out throughout the year
  • Financial resources are available and banking relations are maintained and managed
  • Simplification of processes to minimize costs, reduce duplication of work and maximize efficiencies are reviewed and implemented

Education:

  • Completion of secondary education is required
  • A professional/university level course in Accounting, Finance, or Business Administration is considered as an asset.

Experience:

  • A minimum of 6 years of relevant work experience in the area of finance, accounting, and/or administration is required.
  • Proficiency in the use of standard MS Office applications (Word, Excel, and PowerPoint).
  • Good understanding of financial aspects, payments, recording, and monitoring utilization of funds is required.
  • UN/UNICEF experience is an asset.

Language requirement:

  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian, or Spanish) or a local language is an asset.

Remarks:

General Service Staff are recruited locally. Candidates must be in possession of an existing visa/work permit or be a resident/citizen of Switzerland and/or commuting area to be considered eligible for this position.

UNICEF appointments are subject to medical clearance. Issuance of a visa by the host country of the duty station, which will be facilitated by UNICEF, is required for IP positions. Appointments may also be subject to inoculation (vaccination) requirements, including against SARS-CoV-2 (Covid). Government employees that are considered for employment with UNICEF are normally required to resign from their government before taking up an assignment with UNICEF. UNICEF reserves the right to withdraw an offer of appointment, without compensation, if a visa or medical clearance is not obtained, or necessary inoculation requirements are not met, within a reasonable period for any reason.
