How can you make a difference?

Under the direct supervision of the Finance Specialist, the Finance Assistant will provide a variety of specialized tasks in finance functions, ensuring accurate and timely delivery that is in compliance with UNICEF financial rules and regulations, whilst demonstrating the capacity to research, adapt and evaluate irregular cases, and also to recommend improvements to process delivery and design.

Summary of key functions/accountabilities:

  • Focal point to receive, register and disseminate all incoming invoices from Vendors for payment processing, follow through on certification and payment information.

  • Create request in Service Gateway to Global Shared Service Centre (GSSC) to process direct invoice payables to vendors, respond to queries from GSSC and attend to all returned cases.

  • Updating of all payment registers and follow up on all outstanding payments.
  • Act as the focal point to Field Offices on the vendor payments and identify any bottlenecks and report to supervisor regularly.
  • Recording cash receipts in VISION including refund from Implementing Partners for unspent balance of DCT advance, including all other receipt of cash.
  • Assist in the preparation of monthly and year-end reports;
  • Provide assistance in calculating, monitoring and invoicing Cost recovery from UN joint presence premises.
  • Act as custodian of the petty cash account for the Fiji Office, manage the petty cash and ensure that the processes are in line with UNICEF financial policy on Cash Management daily cash balance is monitored for timely replenishment.
  • Assist in Monitoring and recording petty cash in VISION and replenish for all Field Offices
  • Provide support to the Finance Team
  • Initiate correspondence to verify data, answer queries and obtain additional information on accounts and financial transactions, as required.
  • Prepare monthly VAT Returns from October 2020 with the following key tasks:
    • Compile all related invoices by downloading them from Vision
    • Input the VAT input claims for the month into the Taxpayer Online Services (TPOS) template
    • Upload all corresponding invoices
    • Submit the VAT returns
    • Follow up with Fiji Revenue & Customs Service on the VAT refunds
    • Reconcile VAT assessments against VAT returns lodged

Education:

  • Completion of secondary education is required with professional/university level courses in Accounting and Finance/Business administration considered as an asset.

Experience:

  • Five years of clerical experience in the area of finance and accounting is required.

Language Requirements:

  • Fluency of English is required.
