Organizational Setting

The Shared Services Centre (SSC) recommends and administers process management and procedures that need to be executed effectively; ensures the management of quality assurance activities associated with the transactional processes and implementation of service delivery; continuously improves the satisfaction of its customers, internal or external, while pursuing a continuous improvement agenda that will drive up service excellence while driving down the costs of service delivery through process standardization, process automation and self-service capabilities

This position is located in the FAO Shared Services Centre and based in Budapest, Hungary.

Reporting Lines

The Finance Assistant will report to the National Officer. He or she will work closely with the Finance Unit team as well as FAO Decentralized Offices.

Technical Focus

Delivery of financial services to FAO Decentralized Offices in the area of Fixed Assets.

Tasks and responsibilities

The incumbent will perform the following duties:

• Independently reviews and processes complex asset-management transactions related to the maintenance and integrity of the Asset Register, ensuring the completeness, accuracy and consistency of asset records and supporting documentation. • Review and validates supporting documentation received from headquarters divisions and country offices, identifies discrepancies or compliance issues, and coordinates the necessary corrective actions with relevant stakeholders. • Monitor and investigate complex or exceptional requests received through ServiceNow, determines the appropriate course of action in accordance with applicable policies and procedures, and coordinates follow-up with headquarters units, country offices. • Coordinate and performs quality-assurance and data-quality review activities, identifies recurring issues and control weaknesses, monitors outstanding cases and initiates appropriate corrective and follow-up actions to safeguard the accuracy and reliability of the Asset Register. • Support the Physical Verification of Assets (PVA) process for assigned offices, including providing procedural guidance, reviewing and validating submissions, analysing discrepancies, monitoring completion and escalating significant or unresolved issues as appropriate. • Support the asset addition function, including assessing capitalization thresholds and applicable accounting guidelines, determining correct asset allocation, identifying incorrect expense postings, coordinating invoice adjustments and processing related system transactions. • Prepare and deliver training sessions, briefings and knowledge-sharing activities for headquarters and country office focal points, providing practical guidance on asset-management processes, systems, controls and compliance requirements. • Provide technical support in the development and maintenance of procedural documentation, operational guidance, monitoring frameworks, management reports, dashboards, presentations and training materials, ensuring that they remain aligned with current processes and requirements. • Identify operational inefficiencies, control gaps and opportunities for process improvement and contributes to the design and implementation of system enhancements, automation solutions and streamlined working methods. • Contribute to audit, compliance and management review exercises by researching cases, analysing asset data, preparing supporting documentation and providing explanations and recommendations on asset-management matters. • Apply the relevant FAO Manual Sections, policies, standards and procedures in carrying out assigned responsibilities. • Perform other duties as required

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

• Completed Secondary School Education • At least three years of relevant experience in the area of Finance • Working knowledge (level C) of English • National of Hungary or resident of the country with valid work permit.
