Job Description

In response to the increased refugee arrivals into Europe, the IRC established the program initially in Greece, which was expanded with programs in Serbia the wider Balkans, and Germany. Following a first assessment conducted in January 2017 in Italy and another one in July 2017, several critical protection gaps were identified within assistance provided to refugees and migrants in Italy: mental health and psychosocial support (MHPSS), assistance to unaccompanied children, information provision and legal support. To respond to the identified gaps, IRC established a small presence in Italy. Programs in Italy include Refugee.Info, a web-based information platform, child protection programming targeting unaccompanied children and victims of trafficking, mentoring programs for the socio-economic inclusion of refugee youth, WPE and education (social-emotional learning and healing classrooms).

Summary statement of responsibilities:

We are looking for a Finance Assistant who will assist the Senior Finance Officer in running the accounting, finance, budgeting, and grant management functions. The job holder will be responsible for managing the accounting database for the Italy program, payments, and bookkeeping.

Duties and responsibilities are as follows:

• Maintain the accounting database, recording, reconciling, and adjusting.

• Processing of bank and cash transactions daily.

• Review financial documents, prepare invoices and vendor payment journals in Integra, and initiate payments via the bank website.

• To ensure that the Bank and cash book is updated every day.

• Preparation and checking of bank reconciliation on a monthly basis.

• Control and supervise all transactions throughout the month to maintain an accurate ledger.

• Extract detailed transactions and verify per account and financial dimensions.

• Monitor vendor accounts to ensure no outstanding payables or receivables.

• Keep tracking facility rent, utilities, vendors, and partner payments on time.

• Review all staff travel expense reports for inclusion in payroll.

• Ensure all approved invoice journals are posted.

• Process and post recurring charges (e.g., rent, prepaid insurance).

• Contribute to the efficient functioning of the Office in collaboration with the direct project management.

• Build and maintain electronic and hard files for all grants per IRC practices, an electronic photo library, and all relevant internal and external program information. Ensure all grant files are organized and well managed for planning and preparation of Donor reports and project monitoring.

• Any other tasks as requested by the Senior Finance Officer.

Qualifications:

1. Bachelor’s degree in accounting, Business Administration, Finance, or Economics.

2. Minimum 1 year of experience in Finance, bookkeeping, accounting, or any related fields.

3. Must be able to function comfortably in a complex work environment, working and prioritizing multiple tasks.

4. Able to communicate effectively (written and verbal) in English with staff.

5. Good time management and social skills.

6. Digital solid literacy (especially Excel).
