Org. Setting and Reporting

This position is located in the Executive Office, Division of Conference Management, Department for General Assembly and Conference Management, Geneva. The incumbent will report to the Budget and Finance Officer.

Responsibilities

Under the supervision of the Senior Finance and Budget Assistant, the incumbent will be responsible for the following duties: - Generates budgetary and cost recovery financing reports, including statistical/financial data for tables, charts and spreadsheets using office software and templates. - Prepares redeployments to clear negative balances and provides additional funding on time so that negative balances can be cleared, and the Division’s activities supported. Liaises with the Division’s Programme Supporting Assistants regarding all financial and cost recovery related activities, timeliness of creating Service and Sales Orders, completeness of billing, and the participation in the preparation of the Cost Plan. - Drafts routine correspondence with respect to enquiries related to cost recovery activities. - Checks electronic transmissions of documents related to cost recovery activities and determines appropriate action to be taken. - Assists with the budget preparation for the Division of Conference Management. - Assists in the finalization of cost estimates and budget proposals, in terms of staff and non-staff requirements. - Monitors expenditures and compares with approved budget; Assists in preparation of adjustments as necessary. - Assists in the preparation of budget performance submissions and finalization of budget performance reports, analyzing variances between approved budgets and actual expenditures. - Assists in monitoring of extra-budgetary resources, including review of agreements and cost plans, ensuring compliance with regulations and rules and established policies and procedures. - Verifies accuracy of input data, ensuring consistency of data in previous allotments to new allotments issued. - Co-ordinates with other finance and budget staff on related issues during preparation of budget reports. General: - Keeps up-to-date documents/reports/guidelines that have a bearing on matters related to programme, ensuring compliance with intergovernmental recommendations and decisions as well as with United Nations policies and procedures. - Drafts correspondence to respond to enquiries in respect to relevant financial and budget matters. - Maintains and keep up-to-date files. - Performs other related duties, as assigned.

Work Experience

At least three (3) years of experience in finance, budget, accounting, administrative services or related area is required. The minimum years of relevant experience is reduced to one (1) for candidates who possess a first-level university degree or higher level. At least one (1) year of experience with the United Nations Common System or similar international organizations is desirable. Experience with Enterprise Resource Planning System, such as Umoja, finance and travel modules is desirable. Experience in calculating costs for provision of intergovernmental meetings and conference is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of French is desirable.
