The purpose of the Field Office Coordinator is to ensure the running of the day-to-day functions of the NRC Shostka Field Office contributing to providing quality support to program implementation in the NRC Shostka Field Office, ensuring NRC policies, processes and procedures are implemented and adhered to and ensure effective liaison between NRC and Area level stakeholders.

Responsibilities

Generic Responsibilities

  • Manage support staff at field office level
  • Oversee day-to-day tasks of the Field office (HR & Admin, Finance, Logistics)
  • Ensure adherence to NRC policies, handbooks, procedures and SOPs/guidelines
  • Coordinate and assist with budgets and costs for the field office’s shared costs and support functions
  • Provide support in the training and development of staff
  • Provide necessary support to project implementation at field office level
  • Coordinate and participate in representation meetings with the UN, partners and especially local authorities as delegated by the AM

Specific Responsibilities

  • Under the direct supervision of the Area Manager (AM) and with technical Line Management of the Area Support Manager (ASM), oversee the scale-up of the NRC field office in Shostka.
  • Under the direct supervision of the AM and the support of the APM, oversee the operational expansion of the NRC Shostka Field Office
  • In close coordination with the ASM and Kyiv-based support function Coordinators, ensure that NRC Finance, Logistics and HR, rules and regulations are adequately and timely implemented in the NRC field office in Shostka
  • Facilitate effective integration between support departments and regular coordination between support and programme teams in the Field Office
  • Facilitate effective integration and cooperation between support and programme teams at the NRC Shostka Field Office Organise and facilitate proper coordination and collaboration at the NRC Shostka Field Office through regular team meetings
  • Under the close supervision of the AM, represent NRC externally in Shostka and liaise with local authorities (oblast civil-military administration, hromada administrations, etc.), UN agencies, other NGOs and support the teams in day-to-day access negotiation as per needs
  • Under the AM overall supervision, ensure close collaboration with the HAS Coordinator in Chernihiv and support the HAS Officer to ensure security protocols are applied and respected.
  • Responsible for Securing Supporting Documentation (SSD) for support documents across departments at the NRC Shostka Field Office
  • Establish a good working environment based on the NRC values
  • Attend to any other tasks that will be assigned by the AM.
