You have:

  • Demonstrated knowledge, skill, and ability to manage computer-based facilities and space management systems, including the use of CAD
  • Significant experience with ARCHIBUS or similar CAFM and booking systems

  • Excellent communication, strategic/analytical thinking, and presentation skills with the ability to influence stakeholders
  • Industry-related certifications (IWFM, IFMA, CIPS, RICS, PMI) are highly regarded

About The Job

This team supports WFP colleagues within the Rome-based Headquarters as well as globally for provision of guidance, oversight and support for the management of building facilities and implementation of New Ways of Working initiatives and flexible workspace. In this role, you will engage with cross-functional teams to validate, project, and plan for headcount changes to align with the global Facilities Management unit, focusing primarily on space/occupancy planning for the Rome-based Headquarters. You will focus on proactive planning, partnering with the business to develop and maintain strategic occupancy plans. You will demonstrate core organization, data visualization, and management skills to perform all aspects of this role.

The Facilities Management Occupancy Planner Consultant creates inspiring spaces and innovative services to enhance, maintain, and sustain working environments that bring WFP’s culture and values to life. Enhancing and maintaining all aspects of what keeps WFP’s workspaces operating seamlessly within HQ. Working towards consistently introducing the industry-leading best practices within Facility Management and contributing to making WFP a great place to work and where employees can thrive. The successful candidate must operate as a partner to a diverse range of leaders and stakeholders with a customer service, solutions-oriented approach. She/he must be confident and skilled at both strategy and technical levels, simultaneously acting as an internal ambassador, solutions architect, and implementer. Having passion and in-depth knowledge of facility management operations with a focus on flexible workspace and new ways of working initiatives. This individual also has experience in developing, implementing, and managing projects.

Responsibilities

  • Be a key occupancy planning point of contact, providing facility service operations support and technical guidance for the implementation of New Ways of Working (NWW) model, and work cross-functionally with internal stakeholders to ensure cohesive delivery of services (i.e., Projects, IT, HR, procurement, WFP employees etc.) and to ensure that all inputs are taken into account
  • Build and maintain relationships with business stakeholders to understand needs and drivers, collaborating with the vendor partners to develop frameworks, strategies, and processes.
  • Manage projects through completion, as well as analyse data to develop and communicate occupancy scenarios that drive optimal performance and workflow of the business.
  • Manage facilities operating budget and oversee facility management services and vendor service agreements.
  • Prepare stacking plans to redistribute the office spaces according to new workspace scenario to provide workplace flexibility fostering a more collaborative, efficient, and cost-effective environment,
  • Supervise, guide, and motivate team members in an inclusive and collaborative team environment
  • Contribute to the implementation of environmental sustainability culture throughout WFP through comprehensive Facility Management (including Energy Efficiency and collaboration with Environmental Sustainability and OSH)
  • Availability for short/long term missions to field locations when required

Minimum qualifications:

  • Advanced degree in Architecture, Civil Engineer, Real Estate/Facility Management, or related discipline
  • At least six years of post-graduate, progressively responsible professional experience, in which at least 3 have been in space planning (flexible working environment), project management, managing facilities and renovation work in a large, international organization
  • At least some of your professional experience has been gained through working in similar contexts to WFP (diverse geographical locations, including in developing countries)
  • Ability to provide study reports, technical documentation, papers and/or project plans to produce recommendations for non-technical internal clients
  • Demonstrated knowledge, skill, and ability to manage computer-based facilities and space management systems, including the use of CAD.
  • Significant experience with ARCHIBUS or similar CAFM and booking systems.

Preferred qualifications:

  • Ability to implement creative, non-standard, and innovative solutions to existing and future issues.
  • Ability to manage long-term planning, and short-term decisions for business and site needs.
  • Excellent communication, strategic/analytical thinking, and presentation skills with the ability to influence stakeholders at all levels.
