This position provides an excellent opportunity to be exposed to many aspects of UNOPS operations including corporate management and planning, as well as to engage with colleagues at all levels in the organisation.

Under the guidance and direct supervision of the Executive Office Support Specialist, the Senior Analyst supports the effective and efficient functioning of the Executive Office (EO), supports the Secretariat for the Management Team, maintenance of protocol procedures, management of information flow, and follow-up on deadlines and commitments made.

Full confidentiality in all aspects of the assignment is imperative.

The Senior Analyst works in close collaboration with UNOPS personnel at all levels including the Executive Director and Deputy Executive Director, UNOPS Management Team, as well as with UN Agencies and senior government officials.

Functional Responsibilities

The incumbent will be working under the supervision of the Management Specialist in the EO. He/She is expected to work and liaise closely with the different teams and units within HQ and Regions.

Coordination and senior management support

  • Collect data, information, and updates from across UNOPS units and regions and summarize for decision-making.
  • Attend meetings, working groups, and task forces to take notes and feedback the information in a concise manner.
  • Provide support to the Secretariat for UNOPS Management Team.
  • Prepare and maintain a register of decisions from the Management Team and monitor progress to help ensure effective implementation of decisions.
  • Keep up to date corporate calendars to ensure visibility of key internal and external events and meetings.
  • Support the coordination of corporate cross-functional initiatives.
  • Lead special projects managed by the EO, as needed.
  • Establish solid working relationships with senior managers and other key stakeholders.

Communication

  • Prepare briefing materials for UNOPS Executive Director’s high-level engagements in UN-wide fora, including summarizing documents in a concise manner and highlighting key risks/issues/opportunities.
  • Draft talking points, speeches, background notes, and other material, for the Executive Director and others in the EO.
  • Liaise with relevant stakeholders (HQ units and field offices) for their inputs into the briefing materials, ensuring inputs are provided in a timely manner and meet the expected quality.
  • Research, review, analyse and summarise substantive information for the Executive Director’s briefings, ensuring the required quality and deadlines are met.
  • Draft internal communication pieces on behalf of the EO, when appropriate.
  • Draft routine correspondence on behalf of the EO to communicate with internal and external parties.

Support to the daily EO operations and administration

  • Plan and prepare meetings and missions for the Executive Director and others.
  • Support the EO on administrative and logistical matters, such as travel arrangements, preparation of meetings, etc.
  • Support procurement and finance processes related to the EO, when required, including liaising with relevant units in UNOPS for such matters.

Education/Experience/Language requirements

Education

  • Master's degree in business administration, political science, international relations, Communications or related fields. A bachelor's degree with 2 additional years of relevant experience may be accepted in lieu of a master's degree.

Certification

  • Project Management certification (i.e. PRINCE2, MSP) is desirable.

Experience - A minimum of 2 years of relevant work experience in similar roles is required. - Experience in project management including project planning, stakeholder management, risk analysis, monitoring and evaluation is desirable. - Experience with strategic planning methods and tools is an advantage. - Previous experience working in a global or international organisation is an asset. - Experience working in a developing country, conflict and/or post-conflict project management environment is an asset. - Previous experience working for UNOPS (or currently working for UNOPS) will be considered a strong asset.

Languages

  • Fluency in English is required.
  • Fluency in French or Spanish is highly desirable.
