Job Context

Considering the organizational context above, the Executive Assistant is accountable for communications, operations and administrative support services to enhance the smooth running of the supervisor’s day-to day activities. Executive Assistants also represent the supervisor in initiating, following up on and resolving issues pertaining to administrative requests, including working in close connection with the different Programme sections of UNICEF Brazil country office.

How can you make a difference?

Under the supervision of the Planning Officer, the Executive Assistant is accountable for communications, operations, and administrative support services in the Office of the Deputy Representative for Programme. Some of these responsibilities are listed below.

  • Communication responsibilities [reviewing documents, drafting, editing, etc.]
  • Managing sensitive and confidential information
  • Follow up on established deadlines and ensuring timely submissions
  • Maintain, organize and follow up teams’ agenda, travel, documentation, reports, etc.
  • Organize, plan, support, and follow up on section’s activities, including logistics, monitoring, reporting, etc.

To qualify as an advocate for every child you will have…

Education: Completion of secondary education is required. Candidates with courses or university degrees in administration, accounting, social science or related fields (Sociology, Anthropology, International Relations, Political Science, etc.) will have an advantage.

Certification or enrollment in a PMI (Programme Management Institute) course or similar will be an asset.

Experience: A minimum of five years of relevant administrative work experience is required. Candidates with experience supporting high level managers and in programme management will have an advantage.

Candidates with experience in senior level administrative support in planning and organization, budget and finance, monitoring and programme will have an advantage.

Experience in a humanitarian organization, civil society, UN/UNICEF or public sector will be an asset.

Experience in a developing country will also be an asset.

Language Requirements: Fluency in English and Portuguese is required. Knowledge of French, Spanish or a local language is an asset.

Desired Skills: Strong organizational, planning and analytical skills.

Capacity to work in a high paced environment and to deliver quality and timely results.

High sense of confidentiality, initiative, and good judgment.

Ability to work effectively with people of different national and cultural backgrounds.

Training and experience using MS Word, Excel, PowerPoint, and other related software. Knowledge on SAP systems and other PMI related tools.
