You have:
- Previous senior level PA/EA experience is required.
- Previous experience with handling complex travel plans, including multi-leg itineraries and visas.

- Excellent IT skills including Microsoft Word, Excel, PowerPoint and Outlook are required.
- Experience of working with and interacting with high profile figures is preferred.

Role Summary

At the Tony Blair Institute for Global Change (TBI) we equip political leaders with the policy ideas and resources they need to build open, inclusive and prosperous societies.
Our global team works in more than 20 countries across four continents to support leaders with strategy, policy and delivery. From Covid-19 to the war in Ukraine, the tech revolution to the net-zero transition, our experts and thought leaders provide fresh analysis, practical policy solutions and embedded support in response to the world’s biggest challenges.
The communications team gives voice to the TBI’s work, using all available channels to influence policymakers and the wider public.
To support us in delivering even more effective communications we are now hiring for an Executive Assistant to the Executive Director, Global Strategic Communications, with additional interest and experience in serving as a Communications Assistant to the wider team, particularly for internal communications.
Working directly with the Executive Director of Global Strategic Communication, the Executive Assistant will maintain the diary, coordinate meetings, travel, expenses, media subscriptions, and provide general support to the team and for TBI Events. In addition, the successful candidate will take on the role of managing the administration associated with TBIq, our new internal communications tool, suggesting new ideas to improve collaboration and internal communication, developing basic copy, and providing assistance to the TBIq team in running the internal site.
As this is a new role, we are looking for someone with the experience and skills needed to support a busy and global team, while contributing meaningfully to TBI’s internal communications.
Key Responsibilities
- Diary Management – co-ordinate internal and external appointments, conference/video calls, across time zones whilst proactively ensuring diaries reflect shifting priorities.
- Meetings and Events – arrange internal and external meetings and events, including scheduling, greeting guests, coordinating logistics, catering, preparing agendas, circulating papers, tracking action points and taking minutes.
- Travel support - organising visas, flights, trains, accommodation, transfers, currency, inoculations, scheduling meetings and preparing detailed itineraries and supporting briefing/materials. This role may also require some travel accompaniment across the region and globally.
- Email management (if required) - monitoring mails, drafting responses, highlighting urgent items for action, filing inbox.
- Correspondence management- file and action incoming correspondence and prepare letters/emails on behalf of management.
- Research support - collecting data, carrying out research (for instance reviewing online source material) and writing basic briefing material.
- Expense Management – completing monthly claims, reviewing expenses and invoices for approval on behalf of management.
General Support:
- Filing - creating, maintaining and retrieving paper/electronic materials for review (for example - ahead of meetings or in support of projects).
- Maintaining contact database - scanning/typing business cards, filing cards and keeping contacts up to date.
- General admin support - assistance to the wider team as required, plus support to the Executive Assistants incl. ad hoc tasks as well as cover during periods of absence.
Communications (Internal) Support:
Manage the process of drafting, reviewing, and distributing internal communications materials for the central employee-engagement platform and other channels.
Work closely with the Executive Director of Global Strategic Communications to design and implement an efficacious strategy and schedule for the weekly all hands.
- Work with the people team to distribute key messaging around notable employee issues and events.
- Measure and report on the effectiveness of internal communications activities in relation to the strategic communications OKRs and TBI KPIs.
