UNGEI is a global partnership for gender equality in and through education. Our mandate is to catalyze and galvanize action locally, nationally, regionally and global for girls’ education and gender equality in education. We bring together diverse partners to support Ministries of Education and other national actors to develop and implement bold commitments to gender equality in education. We convene regional global conversations and action for girls’ education and gender equality in education, including through the leadership of young feminist activists around the world. UNGEI partners include multilaterals, regional umbrella and intergovernmental organizations, national and global civil society organizations and young feminist leaders.

Terms of Reference / Deliverables

Purpose of Activity/Assignment:

In December 2021, the UN Secretary-General announced a commitment to convening a summit on Transforming Education at the end of September 2022, during the annual United Nations General Assembly (UNGA) in New York, United States. UNICEF will be in a co-leading role, working closely with an inter-agency secretariat, led by UNESCO, dedicated to organizing this summit. UNGEI will work closely with its partners to ensure that intersectional gender equality is a critical theme of the summit.

The Transforming Education Summit (TES) presents an opportunity to achieve two goals by convening developing country expertise and knowledge:

  • championing country experts’ leadership and participation in Summit discussions and
  • contributing to UNGEI’s process of developing its 2023-2027 portfolio.

On September 21 and 22, 2022, the UNGEI Secretariat will convene 21 national actors and voices for gender equality in education from the global south, in conjunction with the 77th Session of the UNGA and the Secretary General’s planned TES in New York.

The purpose of the assignment will be to coordinate the in-person event logistics and convening of national actors to push for progress on gender equality and girls’ education globally. The event would include a variety of formats such as interviews, debates/discussions, presentations, performance, statements, and reflections on themes relating to gender equality and girls’ education. It will be organized in two parts:

  1. convening national actors over two days for discussion, debate and feedback to UNGEI strategic directions and portfolio development process.
  2. include both facilitated and free-form intergenerational “mutual mentorship” networking events (external facing) and feminist-solidarity building moments and provide a guide to UNGA and TES events for national actors to attend over the 2 days.

Scope of Work

Under the guidance and supervision of the Programme Officer and with inputs from the UNGEI Secretariat team, the Events Coordinator is anticipated to work full time from April 15 to October 14, 2022 (up to 130 days) to deliver on:

  1. before the event: work and tasks in preparation before the event and in coordination with UNGEI and its event partners
  2. during the event: ensuring the smooth running of the event
  3. after the event: assist UNGEI with any other finalization tasks on each day of the event

Terms of Reference / Deliverables

  • Event strategy and timeline

Pre-event:

Prepare a detailed event plan (including content needed, key deliverables, etc.) and timeline which indicates different roles and responsibilities for each team member. - 5 days

  • Coordination and logistics (support in the run-up and post-event to convene and elevate feminist voices from the Global South)

Pre-event:

In consultation with Programme Associate, UNGEI Secretariat, liaise with all vendors to confirm venue reservations, set-up, and other communications. - 30 days

  • Vendor coordination

  • Act as focal point for participants, speakers and partners.

Throughout the implementation

  • Arrangement of event registration for all speakers and attendees
  • Prepare a participant pack, which will include an agenda for the 2-day event; detailed run of show documents for each session; handouts/briefing notes for participants and speakers as required

The Consultant will also lead on scheduling virtual briefing calls with participants, speakers and partners. - 20 days

  • Public relations and advocacy
  • Support the UNGEI Advocacy, Communication, Learning and Youth team to coordinate and follow up on raising interest and profile of the high-level event through social media and online promotion, targeted invitations and outreach, etc.
  • Support development of a comprehensive social media kit and strategy.
  • Liaise with UNGEI partners and campaign trailblazers to promote and amplify campaign on social media. Live tweeting and IG stories during event - 35 days
  • PTO/paid UN holidays

10 days = 9 PTO days (1.5 PTO/per month) + paid UN holiday

Qualifications

1) Education

  • A bachelor's degree in event planning/management, communication, or a related field

2) Work experience

  • Minimum of 3-5 years of experience in organizing international meetings, events and conferences within international organizations or UN settings.
  • Strong background in organizing complex events, both online and in-person, working with different partners, and convening diverse actors.

3) Competencies / Skills

  • Understanding of the UN system and international development sector.
  • Knowledge and understanding of feminism, gender equality, girls’ education, international development, human rights and social justice is desirable.
  • Excellent organizational skills, attention to detail and ability to handle multi-tasking, problem-solving and planning skills
  • Ability to work efficiently under pressure both independently and as a team member
  • Excellent written and oral communication skills
  • A strong sense of client orientation and a strong drive for results

    • travel costs and daily subsistence allowance, if internationally recruited or travel is required as per TOR.
    • Any other estimated costs: visa, health insurance, and living costs as applicable.

  • Any emergent / unforeseen duty travel and related expenses will be covered by UNICEF.
  • At the time the contract is awarded, the selected candidate must have in place current health insurance coverage.
  • Payment of professional fees will be based on submission of agreed satisfactory deliverables. UNICEF reserves the right to withhold payment in case the deliverables submitted are not up to the required standard or in case of delays in submitting the deliverables on the part of the consultant.

U.S. Visa information:

With the exception of the US Citizens, G4 Visa and Green Card holders, should the selected candidate and his/her household members reside in the United States under a different visa, the consultant and his/her household members are required to change their visa status to G4, and the consultant’s household members (spouse) will require an Employment Authorization Card (EAD) to be able to work, even if he/she was authorized to work under the visa held prior to switching to G4.
