1. Organizational Context

  1. Organizational Setting

The position is located at the Diplomatic Engagement and Assemblies Affairs Division, Sector of the Director General. The Division is responsible for all engagements with the diplomatic community in Geneva through various avenues such as events and meetings, as well as oversee the administrative, logistical and other aspects of key meetings such as the WIPO General Assemblies.

  1. Purpose Statement

The incumbent provides day-to-day support to the Diplomatic Engagement and Assemblies Affairs Division in the organization of meetings and events and coordinates with internal and external stakeholders for the efficient and timely implementation of events.

  1. Reporting Lines

The incumbent works under the supervision of and reports directly to the Event Producer.

2. Duties and Responsibilities

The incumbent will perform the following principal duties:

    1. Assist the Event Producer in liaising with representatives of WIPO stakeholders (Member States, NGOs and IGOs) and coordinate arrangements relating to the organization of regular events on WIPO premises including National Days celebrations, WIPO General Assemblies events, side-events during WIPO Committees and individual exhibitions by artists.
    1. Brief and organize the Events Team in following-up with WIPO stakeholders on the preparation of events, identifying their needs and monitoring the level of service provided; draft standard replies to incoming requests, prepare invitations, review technical requirements for cultural events with suppliers, and manage the setting up and dismantling of exhibitions; draft pre-meetings talking points and ensure follow-up on agreed actions; establish weekly staff planning to ensure adequate coverage of the planned events program.
    1. Conduct pre-and post-event evaluations and report on outcomes; bring any short falls to the attention of the supervisor.
    1. Assist the Conference Manager, the Protocol Manager and the Assemblies Affairs Coordinator in the organization of their respective activities, as and when required.
    1. Perform other related activities, as and when required.

Education (Essential)

First-level university degree in international hospitality, public or business administration, management, international relations, or other relevant discipline.

Experience (Essential)

Experience in event management in an international context.

Experience (Desirable)

At least one year of experience in event management in an international context.

Languages (Essential)

Excellent knowledge of English or French and good knowledge of the other.

Languages (Desirable)

Knowledge of other UN official languages.

Job-related competencies (Essential)

Ability to work under pressure and to deadlines and to effectively coordinate event-related activities associated with large-scale official events.

Excellent interpersonal skills and ability to maintain effective partnerships and working relations in a multicultural environment with sensitivity and respect for diversity. Ability to maintain a high level of confidentiality and discretion. Customer-oriented.

Competent user of Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and the Internet.

Candidates must be well presented and possess excellent interpersonal skills.

Annual salary****:

Total annual salary consists of a net annual salary (net of taxes and before medical insurance and pension fund deductions) in US dollars and a post adjustment. Please note that this estimate is for information only. The post adjustment multiplier (cost of living allowance) is variable and subject to change (increase or decrease) without notice. The figures quoted below are based on the November 2022 rate of 78.6%.

Temporary appointment are renewable, subject to continuing needs, availability of budget and satisfactory performance with a maximum cumulative length of two years.
