About CCHN

The Centre of Competence on Humanitarian Negotiation (hereafter CCHN) is a common undertaking of five organizations, namely the United Nations High Commissioner for Refugees (UNHCR), the World Food Program (WFP), the International Committee of the Red Cross (ICRC), Médecins sans Frontières Switzerland (MSF-Switzerland) and the Centre for Humanitarian Dialogue (HD). The CCHN’s creation and its five-year incubation period are governed by a strategic partnership agreement between the five initiators and hosted by the ICRC.

The CCHN aims to facilitate the capture, analysis, and sharing of humanitarian negotiation practices on the frontline to support the efforts of humanitarian practitioners in seeking access to and protection of populations affected by armed conflicts and other situations of violence. It intends to contribute to the creation of a “community of practice” among humanitarian negotiators across agencies and regions centered around the specificities of humanitarian negotiation.

Mobilizing humanitarian professionals engaged in a negotiation on the frontlines is a critical part of the activities of the CCHN. Based on the inputs of the research stream and building on the negotiation tools and methods developed by the CCHN and its partners, the CCHN reaches out to operational staff who regularly engage in access and protection negotiations at the country and regional level through a series of listening tours, interviews, field workshops, and peer support activities.

Purpose of the position

The Event Officer leads and carries out all organizational, administrative, and logistical tasks related to holding different types of on-site events and activities organized by either the Management and/or the Operations team of the CCHN in Geneva, online or in the field. In so doing, they directly contribute to supporting and strengthening the CCHN Community of Practice.

Main duties and responsibilities

The Event Officer manages and carries out all organizational, administrative, and logistical tasks related to holding different types of on-site events and activities organized by either the Management and/or the Operations team of the CCHN in Geneva, online or in the field. In so doing, they directly contribute to supporting and strengthening the CCHN Community of Practice.

The Event Officer is responsible for prioritizing, coordinating, and supporting CCHN events in Geneva or in the field and is (80%):

  • Coordinating the logistics related to the implementation of events/conferences/Board meetings/Donor follow-up led by the Management Team and may join the Management Team during field missions to ensure accurate delivery;
  • Supporting the Director/Deputy Director of the CCHN in the organization and running of events within “La Genève Internationale” to maintain and further develop a strong network with Geneva-based organizations and academia, such as a CCHN Open House, a peer WS for Donors;
  • Planning and leading the organization of on-site field workshop (including schedules, travel, accommodation, internal and external services, when vital, the catering plus any requests from the CCHN team and the participants during the event);
  • Leading participants before, during, and after each event, ensuring the appropriate follow-up; facilitating the collection of data on the experience of participants to improve CCHN products and efficiency and ensure their transfer to the HubSpot CRM after each event for statistics purposes;
  • Updating the calendar of events of the CCHN digital platform and providing other types of support needed to update the platform depending on the nature of the event;
  • Ensuring accurate coordination and communication with either the Management and/or the Operational Manager and the Communication Team;
  • Acts as logistic Focal Point for the CCHN World Summit, coordinating and contributing to the planning and the overall implementation of the event, interacting, and communicating with the different agencies linked with the event, with the hosting partners, the service providers, etc;
  • Being the focal point of the FIPOI regarding the CCHN premises and ensuring the smooth running of the CCHN office in terms of stationery, furniture, etc.

Main duties and responsibilities

The Event Officer will, in addition, have the opportunity to contribute to specific CCHN projects, such as (20%):

  • Supporting CCHN’s overall efforts of building and mobilizing a Community of Practice;
  • Supporting the CCHN Communication team in the development of communication products.

Education and experience required

  • Confirmed experience in event management in an international environment;
  • Proven experience in recording and balancing expenses for each event;
  • Minimum of three years of work experience working in an international environment.

Desired profile and skills

  • Excellent knowledge of MS suites (Excel, Word, and PPT);
  • Capacity to work independently under pressure with tight deadlines and effectively in a medium size team;
  • Strong interpersonal and communication skills, including good public presentation;
  • Good writing and editing skills;
  • Excellent command of both English and French. Spanish or Arabic is an asset;
  • Available for regular field missions (40-50%).
