ABOUT THE EXECUTIVE BOARD SECRETARIAT (EBS)

The Executive Board Secretariat (EBS) is the interface between the WFP Executive Board Membership (Board Members and Observers) and WFP Management. Reporting to the WFP Deputy Executive Director, EBS manages Board Document Processing Services, Conference Services, Web & Digital Transformation Services, Ceremonial Protocol, and the WFP Library & Research Centre.

The EBS Conference Servicing team (EBSC) manages Board events, such as formal and informal sessions, consultations and briefings, and non-Board events, such as corporate meetings, and relevant conferencing services, in virtual, hybrid or on-site modalities. EBSC monitors and evaluates the performance of the events that it manages, continuously reviewing efforts to increase the efficiency of meeting services in terms of costs, time and environmental sustainability.

The position is based in EBSC and reports to the Chief, EBSC.

THE ROLE

You will work under the direct supervision of the Chief of EBSC. The principal task is to coordinate and manage the implementation of the digital transformation of various EBSC sectors including event planning, talent booking and business performance tracking; contact management; and the EB governance follow-up processes managed through the R2 system, whereby you will ensure a smooth transition for EBS with the support of the Enterprise Risk Management Division (ERM).

You will also support the organization, execution and follow up of EB-related on-site, virtual and hybrid events including EB sessions, side events and high-level events, and author and curate communications content such as EB-related articles. You will review and keep updated EBSC documentation and guidance available on WFP/GO to facilitate staff globally to access EBSC services.

You will support the EBS Deputy Director with the handover of the planning, reviewing and finalizing the divisional statistics, as well as the reporting activities of the Annual Performance Report, the EBS Statistical Report and the EBS Annual Performance Plan, and related Reviews.

KEY ACCOUNTABILITIES (not all-inclusive)

You will:

  • Assess current EBSC digital capacities and capabilities and support the Chief of EBSC in managing digital transformation.
  • Participate in project design meetings and evaluate potential problems, propose improvements as appropriate.
  • Analyse the use of Board services, sessions, documentation, tools and the focus of its work, including an analysis of the cost implications of these activities to assist in decision-making and improving conference services.
  • Prepare communication plans and guidance materials to introduce new systems, tools and processes as they are tested and launched.
  • Support the organization, execution and follow-up of Board-related on-site, virtual and hybrid events including Board sessions, side events and high-level events.
  • Prepare pre-Board internal communications and facilitate staff globally to access EBSC services in preparation for Board sessions.
  • Serve as a focal point for divisional statistics and other reporting activities under the supervision of the EBS Deputy Director and ensure their handover to the next focal point.
  • Support other EBS projects as required.

QUALIFICATIONS AND KEY REQUIREMENTS

Education:

You have:

  • University degree in Political Science, Humanities, Statistics, Information Management or Journalism, Business Management, Social Sciences or other relevant field, and additional years of related work experience and/or training/courses.

Experience:

You have:

  • Three years or more of postgraduate professional experience in project management and coordination, information management processes, data management, and statistical and reporting activities, with a background and interest in international humanitarian development.

Language:

You have:

  • Fluency (level C) in the English language.
  • Intermediate knowledge (level B) of a second official UN language: Arabic, Chinese, French, Russian, Spanish, and/or Portuguese (A WFP’s working language) is an asset.

You have:

  • Technical knowledge in digitalization processes.
  • Technical knowledge and experience in online conference platforms and hybrid event solutions.
  • Strategic level of understanding of conference servicing.
  • Specialised knowledge of information management best practices, techniques and processes.
  • Strong written and oral communication skills, including substantive analysis and report writing skills.
  • Able to supervise and support more junior and/or less experienced members of the team.
  • Knowledge of, or the ability to quickly assimilate, UN/WFP specific processes and systems
  • Strong organizational skills along with critical thinking and organized communication skills.

TERMS AND CONDITIONS

A limited Fixed-Term Appointment (LFT) position is a non-mobile staff appointment in the international professional category for a limited period (2 years, with a possible extension up to max. 4 years). Incumbents of LFT positions are not eligible to apply for other mobile positions advertised internally through the Reassignment.

Mobility is and continues to be a core contractual requirement in WFP. This position is however classified as “non-rotational” which means the incumbent shall not be subject to the regular reassignment process unless the position is reclassified as rotational.
