Internal Services is part of the Central Support Services (CSS), Division of Programme Support (DPS). CSS supports ITC's substantive divisions in the fulfillment of the organization's mandate and in their activities related to programme delivery by providing timely, efficient, reliable and cost effective travel, procurement, registry, messenger, building maintenance and security services through implementation of client-oriented, transparent and accessible procedures, compliant with related United Nations rules and regulations.

Responsibilities Under the direct supervision of the Supervisor, Internal Services Subunit and under the general guidance of the Head of Travel and Internal Services, the incumbent will:

  • Drive vehicles safely for the transport of authorized personnel, particularly high ranking officials of ITC, Executive Director and Deputy Executive Director.

  • Make regular deliveries of parcels and documents.

  • Make minor purchases and collect urgent purchases from local suppliers as requested. Collect goods from the customs with due regard to customs regulations and formalities.

  • Take care of day-to-day maintenance of the assigned vehicles, perform minor repairs and arrange for other repairs, ensure that the vehicle is kept clean.

  • Log official trips, daily mileage, gas consumption, oil changes, greasing as required.

  • Ensure that the steps required by the rules and regulations (host country traffic regulations) are taken in case of involvement in an accident.

  • Upon request, support the CSS Helpdesk Management, monitor internal requests for support services posted under the on-line CSS helpdesk and take action as required. Support the Access Card management system and ITC garage administration. Support corporate ITC local events. Participate at the public tender opening. Ensure the international despatch of documents and parcels. Support mailing and archiving activities.

  • Perform other duties as required.

Knowledge of the area and the current condition of roads and highways, security and safety awareness; familiarity with frequently traveled routes and routines of the more senior staff or the officers.     Education High school diploma or equivalent.

    Job - Specific Qualification A drivers license B or higher is required.

    Work Experience A minimum of two years of relevant experience in driving is required. Note: A university degree may be accepted in lieu of the years of relevant experience.

    A minimum of two years of relevant experience in administrative or customer services is desirable.

    A minimum of two years of relevant experience in mail/freight services is desirable.

    Experience of an ERP system is desirable.

    UN experience common system experience is desirable.

    Languages For the position advertised, fluency in either English or French language is required; and knowledge of the other is desirable. Knowledge of another official United Nations language is an advantage.

    Assessment Evaluation of qualified candidates may include an assessment exercise which will be followed by competency-based interview.

This is a fixed term appointment for an initial period of one (1) year available from 01 June 2024.
