Assist with customs clearance and administrative tasks

You have:

  • Administrative experience, preferably in protocol or travel management.
  • Hands-on experience in handling hotel bookings, visa processes, and travel logistics coordination.
  • Familiarity with invoice verification and payment reconciliation.
  • Technical skills in MS Office, including Word, Excel, and PowerPoint.

Contract

This is a UNV National Specialist contract. This kind of contract is known as National UN Volunteer. It is normally only for nationals. More about UNV National Specialist contracts.

• Introductory briefings about the organisation and office-related context including security, emergency procedures, good cultural practice and orientation to the local environment; • Support with arrival administration and official processes as required; • Structured guidance, mentoring and coaching by a supervisor including a clear workplan and performance appraisal. • Access to office space, equipment, IT support and any other systems and tools required to complete the objectives of the assignment including a host entity email address. • Access to shared host entity corporate knowledge, training, and learning. • Ensure that UN Volunteers are provided all necessary security measures as per the United Nations Security Management System (UNSMS). • Leave management. • DSA for official travel, when applicable. • All changes in the Description of Assignment occurring between recruitment and arrival or during the assignment need to be formalized with the United Nations Volunteer Programme. • Investigate misconduct: sharing reports with the UNV. • Provide emergency assistance, e.g., the death of volunteer or medical evacuation, in collaboration with UNV. Accept letters of guarantees or potential liabilities for covering medical costs not claimable under medical insurance in extraordinary situations (e.g., isolation facilities` services during pandemics).

• Ensure completeness, accuracy, and proper archiving of all shipping, customs, and import-related documents, including greenlight requests and shipment files. • Work closely with clearing agents and freight forwarders to ensure smooth customs clearance for WHO goods, minimizing delays and demurrage. • Secure permits, licenses, and certificates required for customs clearance, ensuring compliance with current regulations. • Monitor routine issues in the clearance process and escalate to the Shipping Officer when necessary for guidance and resolution. • Follow up the clearance of shipments upon arrival, ensuring timely delivery to warehouses and end-users. • Collaborate with clearing agents to produce monthly activity reports, enabling updates to tracking sheets and dashboards. • Anticipate potential clearance issues and coordinate with clearing agents to prevent delays or additional costs. • Serve as a key point of contact between the organization and external partners, clients, or stakeholders. • Ensure clear, accurate, and timely communication between parties. • Monitor and assess relationships with stakeholders, resolving any issues or conflicts as needed. • Provide regular updates and reports to management on the status of external collaborations. • Support the organization in fostering and maintaining positive, professional relationships with stakeholders. • Carry out any additional tasks or responsibilities as assigned.

The duty station is Port Sudan, and as this is a national UN Volunteer assignment, the UN Volunteer will be responsible for arranging his/her own housing and other living essentials
