Result of Service

The contractor will ensure the smooth management and production of all Cultural Activity Programme events during the period. The contractor will maintain good relations with all clients and stakeholders. Internal documentation and external communication for events will be prepared and circulated in a timely manner. The contractor will ensure that all files, documents, invoices are managed, and that events calendars, information on events and data for evaluation and montitoring of events is updated and maintained.

Duties and Responsibilities

The United Nations Geneva Cultural Activities Programme provides Permanent Missions to the UN Office at Geneva a cultural diplomacy space to share art and culture at the Palais des Nations. Cultural events include art exhibitions, musical concerts, dance performances, and movie screenings. Events are open to the diplomatic community, staff of the UN system, anyone accredited to enter the Palais des Nations, and the general public upon registration. For this position, the contractor will work closely with Cultural Activities Programme Coordinator.

The following functions are required: · Coordinate and manage the production of events, including relations with Permanent Missions and other international organizations, administration, communication, event documentation and team coordination, under supervision of the Cultural Activities Coordinator.

· Ensure timely, professional production of events including assisting with logistics for installation, set-up and client support for technical needs.

· Liaise with clients, stakeholders and internal partners and colleagues to ensure the successful preparation and production of events and activities.

· Prepare event summaries, update calendar of events, draft correspondence, respond to incoming queries.

· Take on lead responsibility for specific event tasks as required, including ensuring communication materials (posters, invitations, newsletters, etc.) and logistics for events including registration, are prepared in a timely manner.

· Serve as Master of Ceremony for events as required.

· Contribute to the evaluation and monitoring by updating and maintaining statistics on events and preparing reports as required.

· Finalise all post-event activities, including client communications, invoicing, statistics and data. Maintain records and files.

Qualifications/special skills

A recognised 1st level degree in international relations, business administration, communications, or related area is required. At least one year's experience working in event production and management is required. Experience working in at the United Nations or other international organization is desirable A good knowledge of standard software applications, especially MS Suite, is required

Languages

English and French are the working languages of the United Nations Secretariat. Fluency in English is required for the position and a knowledge of French is desirable. Knowledge of an additional official UN language is an advantage. Arabic, Chinese, English, French, Russian and Spanish are the official languages of the United Nations Secretariat.
