UNICEF promotes the rights and wellbeing of children everywhere, working with partners in 190 countries and territories. UNICEF is a voluntary-funded organization that raises funds in both the public and private sectors. Private sector fundraising is led by UNICEF's division for Private Sector Fundraising and Partnerships (PFP). PFP leads a global ecosystem of UNICEF offices and National Committees to raise income from and influence the private sector. The main activity is to ensure the rights of all children are respected by liaising with national government counterparts to influence national policies and provide support during emergencies (in high-income countries, in which PFP is active).

To ensure that PFP is best placed to deliver on its targets in these areas in the current Strategic Plan and beyond, the division is undergoing an organizational change process across four areas identified for improvement: Culture, People, Structure and Process (Future-Proof Initiative). One component of this initiative is PFP participation in the Headquarters Efficiency Initiative (HQEI) to explore lower-cost European locations.

A dedicated Transformation team has been established to drive the change management process by preparing, equipping and supporting staff with integrated strategies and plans. This requires extensive coordination, liaison, communication, and planning to ensure that the right information and stakeholders are connected at the right time. It also requires significant adaptability to respond to a highly dynamic operating environment.

The Project Coordinator, reporting to Chief Strategic Planning, PRIME / Transformation Team Lead, will be responsible for the following tasks related to PFP change management initiatives (FPI and HQEI): (1) Coordinating, planning and monitoring projects (2) Supporting the development of concept notes and stakeholder communication products (e.g. slide deck, emails, briefing notes, etc.).

How can you make a difference?

Scope of Work:

Coordination, Planning and Monitoring

  • Work closely with division focal points to align on project activities and deliverables, keeping track of progress and alerting the Transformation Team and the senior leadership team of any delays and risks.
  • Oversee the implementation of the change management strategy in accordance with the specified plans, such as the sponsorship plan, communication and engagement plan, and learning and development plan.
  • Develop and maintain an up-to-date monitoring dashboard to track key performance indicators and project milestones.
  • Foster effective communication and collaboration with both internal and external stakeholders, addressing matters that necessitate close coordination.
  • Assist in the planning and sequencing of multiple concurrent reviews, engagements, and external timelines to ensure a cohesive and well-organized approach.
  • Coordinate and manage regular and ad hoc meeting schedules (hybrid), content approvals, meeting agendas and minutes.

Development of communication and information products

  • Work with the Transformation Team PFP Internal Communications on aligning key messages, drafting talking points and develop slide decks as required, and preparing for All Staff meetings.
  • Support the translation of project information (e.g., timelines, deliverables, outputs) into information products (e.g., SharePoint pages, PowerPoint presentations, etc.) and keep updated.
  • Document management across internal and external stakeholders (e.g., communications, reviews, correspondence).
  • Review documentation for quality and consistency, drafting communications as required in liaison with PFP Internal Communications.

Work assignments overview:

The expected deliverables (for each month) from December 2023 to December 2024 (12 months):

Deliverable 1: Future-Proof Initiative (FPI): Coordinate FPI implementation and develop communication / information materials. (35% of overall work assignment)

2-3 meetings with focal points organized and facilitated, and/or information / communication products related to FPI developed as agreed with the supervisor.

Deliverable 2: Headquarters Efficiency Initiative (HQEI): Support coordination with stakeholders involved in the relocation process and develop communication / information materials. (35% of overall work assignment)

2-3 PPT slide decks, talking points and concept notes related to HQEI developed as agreed with the supervisor

Deliverable 3: Maintain the change management monitoring dashboard. (10% of overall work assignment)

Monitoring dashboard for FPI is developed and maintained, including HQEI Action Log

Deliverable 4: Facilitate and participate in stakeholder engagement activities. (20% of overall work assignment)

2-3 stakeholder communication activities conducted / engaged such as Global HQEI WGs, Staff Association meetings, and internal communications (contributing to ASM, updating FPI collaboration site).

To qualify as an advocate for every child you will have…

Education:

  • Master’s degree in social/organizational psychology, social sciences, international development, and other related disciplines is required.
  • Alternatively, a first level university degree combined with additional years of relevant experience may be accepted in lieu of an advanced university degree.
  • Certification in change management is highly desired.

Experience:

  • A minimum of five years of relevant professional experience in change management and/or social/ organizational psychology.
  • Strong coordination and project management skills, with the ability to collaborate effectively with a diverse range of internal and external colleagues.
  • Familiarity with UNICEF organizational processes an asset.

Language:

  • Fluency in English is required. Knowledge of another UN official language an asset.
  • Demonstrated proficiency in writing and communication.

Remarks:

Please indicate your all-inclusive (lump sum) fees in USD against the deliverables listed above. If there is a need for business travel, the travel costs will be covered by UNICEF separately. The office selects the individual based on best value for money.

Payment of professional fees will be based on submission of agreed deliverables. UNICEF reserves the right to withhold payment in case the deliverables submitted are not up to the required standard or in case of delays in submitting the deliverables on the part of the consultant.

Individuals engaged under a consultancy or individual contract will not be considered “staff members” under the Staff Regulations and Rules of the United Nations and UNICEF’s policies and procedures, and will not be entitled to benefits provided therein (such as leave entitlements and medical insurance coverage). Their conditions of service will be governed by their contract and the General Conditions of Contracts for the Services of Consultants and Individual Contractors. Consultants and individual contractors are responsible for determining their tax liabilities and for the payment of any taxes and/or duties, in accordance with local or other applicable laws.

The selected candidate is solely responsible to ensure that the visa (applicable) and health insurance required to perform the duties of the contract are valid for the entire period of the contract. Selected candidates are subject to confirmation of fully-vaccinated status against SARS-CoV-2 (Covid-19) with a World Health Organization (WHO)-endorsed vaccine, which must be met prior to taking up the assignment. It does not apply to consultants who will work remotely and are not expected to work on or visit UNICEF premises, programme delivery locations or directly interact with communities UNICEF works with, nor to travel to perform functions for UNICEF for the duration of their consultancy contracts.
