External Collaborator Transform Hub - Internal Comms & KMS Support

BACKGROUND

The Transform Hub is a strategic unit within Save the Children Indonesia (SCIDN) dedicated to driving the organization toward its transformation milestones in support of the 2030 ambition to triple impact and double income. As established in the Transformation Charter, effective Internal Communications plays a critical role in supporting the organization's transformation journey by ensuring that employees are well-informed, engaged, and aligned with key priorities, initiatives, and organizational changes at all levels. Currently managed under the Transformation Hub, this function is responsible for communicating transformation progress across the organization. This year, working closely with REALM and Tech and Digital unit, the transform hub unit also aiming to update the Knowledge Management System (KMS). The initiative aims to strengthen organizational learning and collaboration by establishing a centralized platform for capturing, organizing, and sharing institutional knowledge, resources, and best practices. To support both Internal Communications and the KMS update initiative, the Transform Hub is seeking an External Collaborator to contribute to SCIDN’s transformation goals by supporting internal communication operations and KMS development.

OBJECTIVES

  • To support the Transform Hub in delivering Internal Communications through content development, research, administrative support, event coordination, and stakeholder engagement activities.
  • To support to the successful update of the Knowledge Management System (KMS) by supporting knowledge documentation, content management, and knowledge-sharing processes that strengthen organizational learning and collaboration within SCIDN.

SCOPE OF WORK

1. Internal Communications Support Support the planning, development, and publication of internal communication materials to strengthen employee engagement and alignment with organizational transformation initiatives. This includes:

  • Development and publication support for internal communication products, including Monthly Bulletin, printed and digital Mading, and employee engagement communication materials.
  • Preparation and design of presentation decks, infographics, posters, and other communication assets for workshops, socialization sessions, town halls, and leadership engagements.
  • Supporting desk research, benchmarking reports, or insight briefs related to organizational transformation, internal communications, employee engagement, and other relevant topics.
  • Translation of communication materials, reports, presentations, guidelines, and other organizational documents from English to Bahasa Indonesia and/or vice versa.
  • Preparation of meeting minutes, action trackers, and documentation of key discussions, decisions, and follow-up actions from assigned meetings and workshops.

2. Knowledge Management System (KMS) layout Design and Content Support

  • Providing recommendations for KMS layout enhancement, user experience improvements, and content structure.
  • Supporting content preparation, editing, and publication within the KMS platform.

3. Logistics and Event Support

  • Provide logistical and administrative support to ensure the successful implementation of transformation-related events, workshops, learning sessions, and employee engagement activities. This includes:
    • Managing participant registration, attendance records, event materials, and logistical arrangements.
    • Providing on-site support during workshops, meetings, town halls, and other organizational events.
    • Preparing post-event documentation, including event summaries, participant feedback consolidation, and recommendations for future improvement.

Expected Outputs

The External Collaborator is expected to deliver:

  • Internal communication products (Bulletin, Mading, employee communication materials).
  • KMS content repository updates and content management support.
  • Research briefs and benchmarking reports.
  • Translated documents and communication materials.
  • Presentation decks and visual communication assets.
  • Meeting minutes, action trackers, and knowledge documentation.
  • Event documentation and post-event reports.
