THE OPPORTUNITY
The Global Partnership to End Violence against Children is seeking an experienced professional to coordinate the organization of a Grantee and Donor Convening for its the Safe Online Initiative. The convening will bring together the Safe Online community of grantees and donors to facilitate knowledge sharing, network expansion and building community of practices to tackle online violence against children. The convening will take place over 2.5 days on 29-31 May 2022 in Brussels, Belgium, in conjunction with the Global Summit on online child sexual exploitation and abuse (CSEA), organised by the WeProtect Global Alliance (1-2 June 2022). The convening will be held as a hybrid event to facilitate participation, both in person (approximately 60 participants) and remotely (approx. 40 participants) and is expected to be logistically coordinated in conjunction with the WeProtect Global Alliance Summit. Due to the COVID-19 pandemic and related travel restrictions, the event may be postponed or shift to a fully remote event.
The successful candidate will support all aspects of the convening, taking the lead in various tasks, in close collaboration with the Safe Online team and other relevant colleagues, related to planning, logistics and overall delivery of a successful event. Specifically, s/he will plan, oversee and manage the convening logistics, including the development and monitoring of a master plan, timeline and budget. S/he will be responsible for meeting the administrative goals and deadlines of the convening, working closely with the Safe Online team to ensure fluid communication and coordinated participation of grantees, experts, donors and partners. The consultant will report directly to the Safe Online Director.
About the End Violence Partnership
The Global Partnership to End Violence Against Children (End Violence Partnership), and its associated Fund, is a unique public-private coalition launched by the UN Secretary-General in July 2016 to accelerate progress towards SDG 16.2: ending all forms of violence against children by 2030.
The Partnership connects and facilitates collective evidence-based advocacy, especially to keep children safe at home, online, in and through schools, and in communities, while the End Violence Fund is a flexible funding vehicle that identifies new and emerging challenges to SDG 16.2, funds innovative initiatives that have the potential to replicate and scale, and generates data, evidence, and learning to inform policy and increase the impact of programmes. The End Violence Partnership has three priority initiatives:
- Works with countries through the process of Pathfinding and ending corporal punishment, whereby governments commit to ending violence against children by implementing evidence-based solutions such as the INSPIRE strategies.
- Builds on existing efforts to ensure children are safe in and through schools via the Safe to Learn initiative, backed by a growing coalition of partners and countries who endorse its Call to Action.
- Strengthens the network of organisations working to keep children Safe Online by leveraging its network of grantees and partners to influence global policy debates and investing in models and solutions to tackle online child sexual exploitation and abuse (CSEA).
About the Safe Online Initiative
The Safe Online investment portfolio has reached US$48 million, funding 60 projects focused on preventing and eliminating online CSEA with impact in over 70 countries. The investments range from supporting programs at country level, large-scale research projects (e.g. Disrupting Harm), to designing new and scaling up existing technology-based solutions. Beyond investing in individual projects, the Safe Online initiative has built a strong collaborative network of partners who are working to share the knowledge, learnings and solutions in this field to maximize collective results for child victims of online CSEA and those who are at risk. Safe Online is also increasingly contributing to global policy discussions on child online safety with governments, tech industry, regulators and others, to ensure that the safety of children is at the heart of intersections between connectivity and safety, privacy and protection, and technology and human rights.
Key Tasks and Responsibilities
General
- Plan, oversee and manage the overall convening logistics including development and monitoring of a master schedule, plan, timeline and budget. This includes a COVID-19 response plan in case a shift to a fully remote event is decided due to travel restrictions.
- Monitor and meet the administrative goals and deadlines of the convening, including ensuring the convening is realized within budget parameters and in line with UNICEF and End Violence's policies and procedures.
Work closely and coordinate with the Safe Online and End Violence's Communications experts to ensure fluid communication and organized project systems are in place to coordinate participation of grantees, experts, donors and partners, as well as assembling relevant information and communication.
Transport, venue and accommodation
Lead on the booking and management of the primary and secondary venues for the convening program (e.g. network gatherings, pre-convening programs, catering, etc.) and act as the main point of contact with venue managers.
- Manage invoices, contracts and post-convening wrap up with timely payments in line with UNICEF policies, including vendors for catering and hospitality (for meals served to convening attendees), equipment and supply rentals, transportation, documentation and technology as required.
- Coordinate travel reservations and booking of accommodation for participants at the selected hotel.
- Coordinate visa arrangements, including participants from non-EU countries.
- Any other logistical arrangements required for the successful organisation of the convening, as per standard practices applicable to the organisation of this type of event.
Some of these tasks will need to be coordinated with or channelled through third parties, such as the WeProtect Global Alliance (entity organizing the Global Summit), their contractors and other counterparts for the organisation of this event.
Administration, communications, and reporting
- Create and update detailed list of invitees and confirmed participants (in person and virtual) and manage the overall invitation and registration of all participants.
- Support planning meetings to coordinate the convening plan, including framing agendas, taking notes and monitoring follow-up actions.
- Support the development and delivery of the necessary programmatic, communications and outreach materials (e.g. agenda, preparatory materials, brochures, pre-reads, workbooks, backdrops) with technical guidance from the Safe Online team.
- Support selected session leads to organize all session details, register presenters and finalize information to share with participants, including printing of supporting material.
- Take notes during the convening to gather lesson learned and feedback from the participants, and inform the elaboration of a final report capturing the main programmatic topics, discussions and take-aways from the convening, as well as potential roadmap or next steps for future events and milestones.
- Any other administrative, communication and reporting tasks required by the Safe Online team, in line with the best practices applicable to the organisation of this type of event.
Expected Results (Measurable Results)
The consultant is expected to deliver the following key results by the end of the contract period:
- A well-organized and consistent workflow that moves the convening ahead from its key formative stage throughout implementation and wrap-up informed by high-quality supporting material and reporting. March - June 2022
- Success in hitting key milestones such as overall plan designed, invitations sent, booking secured, information package compiled and shared with participants, sessions finalised, feedback collated, etc. March - June 2022
- Clarity around the key priorities in the workplan, who’s responsible, and the current status including expenditures and wrap-up at the end of the convening. March - July 2022
- A successful process to book the venue, transportation, accommodation and other key needs in the run-up to and wrap-up of the convening, including a detailed budget in line with UNICEF policies. March - July 2022
- Effective, high-standard communications to ensure the team, grantees and other partners are engaged and well informed about all the details about the convening. March - May 2022
Delivery of high-quality products including detailed agenda, pre-reads, workbooks, and convening overall report with technical guidance from the Safe Online team. March - July 2022
Management and Coordination of Assignment
The contract is expected to commence in March 2022, for a total duration of five months. The consultant will be supervised by the Advocacy and Knowledge Specialist, with the oversight role of the Safe Online Director. S/he will be hired on a full-time basis on a UNICEF consultancy contract. S/he will contribute to a culture of professionalism that emphasizes curiosity, learning, collaboration and delivery.
While the End Violence Partnership is based primarily in New York, COVID-19 has prompted remote and more flexible working, and we do not expect to return to full-time office-based working. Therefore, the consultant may be home-based.
Payment Plan
- Monthly payment, based on satisfactory delivery of tasks and progress reports, approved upon monthly review with supervisor.
- Consultant is responsible for their own health insurance, and for assuming the costs for obtaining visas and travel insurance as necessary.
Consultant is eligible for standard DSA for all work-related travel.
