JOB PURPOSE

Program Assistant Communications will assist the Provincial Office Balochistan through additional support rendered to the OIM & Performance Reports Officer in liaison with the partners, corroborate information and compile reports, photographs of the events and activities as per the WFP’s standards. Curation of materiel (text and data) to be shared with CO for official social media posts and drafting and / or editing of communications materials to highlight the outcomes of various programs and activities. This position is critical in view of the expansion of interventions in Balochistan under the new CSP 2023-27. Gathering and reporting timely information to all relevant internal and external stakeholders while closely working with OIM & Performance Reports Officer, this position will assist in establishing a standard operating picture of the WFP provincial office Balochistan.

KEY ACCOUNTABILITIES (not all-inclusive)

1. Provide coordination, administrative and specialised services, to support staff in the development, preparation and execution of communications campaigns for target audiences. 2. Monitor and coordinate materials, schedules, facilities and clearances, and provide support for special events, and video/film, photographic and radio projects. 3. Conduct clearly defined research and prepare reports and provide data that enables informed decision-making. 4. Monitor traditional and social media and report relevant information to senior staff to inform the development and/or evaluation of communications activities and strategies. 5. Under clear guidance, prepare content for traditional and social media platforms and networks, and printed materials, to enhance coverage and support of WFP’s activities, ensuring consistency with corporate messages and standards. 6. Distribute communications guidelines for WFP staff to refer to when creating content. 7. Manage and maintain records and databases, such as journalist and media outlet contact lists, to ensure the information is accurate, organised and readily available for others to access. 8. Respond to a variety of queries and requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries. 9. Liaise with WFP staff and the media in a timely manner, to support aligned activities and an effective approach to communications within WFP.

OTHER SPECIFIC JOB RESPONSIBILITIES

10. Work closely with OIM and Performance Reports and ensure the timely delivery of data and narrative reporting requirements 11. Assist in drafting reports and collate material (infographics, photographs) and quantitative data. 12. Assist in event management and media coverage, ensure compilation of photographs project and event wise 13. Ensure photographs of all activities are captured from official camera as well as collection of photographs from the CPs. 14. Maintain library/ database of reference materials and photos. And ensure these are timely submitted to CO Communications Officer 15. Gather consent forms for beneficiaries’ photographs and recorded videos and maintain record 16. Contribute to the identification of best practices, lessons learned and case studies. 17. Take and maintain internal staff meeting minutes 18. Maintain hard and soft records of official correspondences (letters), minutes of the meetings, and relevant notifications of govt. line departments.

STANDARD MINIMUM QUALIFICATIONS

Education: Secondary School certificate supplemented by first level university degree (Mass Communication/Management Sciences/Information Management and or relevant field) Language: General Service (Field): Fluency in both oral and written communication in the UN language in use at the duty station and in the duty station’s language, if different.

MINIMUM EXPERIENCE FOR ENTRY INTO THE ROLE

5 Years of experience in communications, reporting and media management. Knowledge & Skills: Communications, Information Management, Reporting, Photography and Media Management.

• Has demonstrated an ability to perform routine communication techniques and activities in line with WFPs operating standards through day to day work • Has supported in providing ad-hoc guidance to new staff members

This job is based in PO Quetta and job holder will report directly to Head of PO and/or designate.
