THE ROLE AND ORGANIZATIONAL CONTEXT

The Management Services Division (MSD) supports a community of over 3,000 team members, worldwide – ranging in profiles from Architects and Engineers to Drivers and Maintenance Workers. The Administration functional area prides itself on providing quality customer service while ensuring that WFP operations reach our beneficiaries, smoothly, even in the toughest conditions, through providing efficient, cost-effective digital solutions for our colleagues in the field. The priorities of the MSD transformation are developed with the view of providing relevant solutions in alignment with the needs of our end-users/customers, situated in field locations, involving all Administration workstreams, including Engineering.

Management Services Division Engineering (MSDE) branch sets up policies and guidance for engineering design and construction projects and provides support to WFP offices worldwide for building community infrastructure (such as community markets, schools, land irrigation…), access infrastructure (warehouses, landing strips, bridges, roads…) and staff infrastructure (offices, guesthouses, staff security…)

Providing direct support to WFP’s Zero Hunger objectives through infrastructure projects such as roads, warehouses, airstrips, and school kitchens; safe and secure facilities such as offices and accommodation; and technical guidance, support, and policy in the field of engineering and project management in humanitarian operations.

MSDE is seeking a Communications and Information Management Junior Consultant to join the team with the overall goal of supporting the branch in what concerns with the Communication, Visibility and Reporting of the Branch activities. You will collaborate with technical engineers and other cross-functional teams, reporting directly to the Chief Engineer, or delegate.

The Communications and Information Management Junior Consultant will be under the direct supervision of the Chief Engineer, or delegate, and will work in close coordination with the Head, Communications MSD and the Communications Advocacy and Marketing Division (CAM) and will be responsible for:

a) GENERAL RESPONSIBILITIES

  1. Work with custom templates and style sheets to meet WFP’s corporate standards.
  2. Support multiple team members and projects with document processing needs, managing deadlines accurately.
  3. Build relationships with team members; maintain active communication with project managers, and technical personnel.
  4. Maintain accurate and up-to-date project files.
  5. Update WFP systems and databases and assist with the new Project Management system design and rollout.

b) COMMUNICATION AND VISIBILITY RESPONSIBILITIES

  1. Support Engineering communications through liaising with respective Technical Advisors with the engineering team members, responsible for support to each country office, supporting the development of content for digital and social media channels and the MSDE website.
  2. Engage with country office communications teams to develop collaborative strategies to ensure operational engineering work is effectively communicated and respective donors/partners are represented.
  3. Propose compelling narratives appropriate for external audiences via WFP platforms and in collaboration with internal stakeholders highlighting progress on key projects and the positive impact they are having on the communities WFP serves.
  4. Establish a content library and archive
  5. Support WFPs engineering work with its visual narrative and identity.
  6. Act as a liaison with the Management Services Division Communication Team to provide content and information that will highlight the projects of MSDE.
  7. Support developing content for digital and social media channels and the MSDE website.
  8. Prepare information management products, such as internal presentations, documents, and regular reports relating to MSDE activities.

QUALIFICATIONS AND KEY REQUIREMENTS

EDUCATION:

You have:

  • Bachelor’s degree in English, Communications, Journalism or a related field is strongly preferred
  • Excellent written and spoken communication skills in English.

EXPERIENCE:

You have:

  • At least 2 years of relevant work experience, progressively responsible in:
    • Building strong relationships with business partners to identify key business issues and identifying new/improved solutions and services.
    • First-hand knowledge of WFP operations and processes, and experience with information management is desirable.
    • Proven experience in supporting communications
    • Previous experience preparing documentation – using templates in Word, PowerPoint for formal reports, letter reports, proposals, and reports
  • Effective and collaborative communication with staff and leadership, with effective written and oral communication techniques to convey clear and timely messages.
  • Strong organizational skills including prioritization and accuracy, adapting approaches, goals, and methods to achieve solutions and results in dynamic situations.
  • Strong interpersonal skills including the ability to work collaboratively, build effective working relationships, and be a team-oriented leader.
  • Excellent time management, problem-solving techniques and use of professional judgment in complex and sensitive situations.
  • An appreciation of diversity and the benefits of a commitment to cultural awareness and sensitivity in the workplace.
  • Strong computer skills.
