Result of Service - Agenda, meeting material and minutes of meeting 5-7 days after every TTCP+FS - Updated Project pipeline and project progress tools on a weekly basis - Common Premises project budget document monitoring and update on weekly basis - Preparation of material for communication, training etc - Updated Website on a regular basis. - Prepare material for TTCP+FS Toolkit

Work Location Remote (NY Time Zone)

Expected duration One year with possibility of extension depending on performance and availability of funds

Duties and Responsibilities Background: The United Nations Sustainable Development Group (UNSDG) Task Team on Common Premises and Facility Services (TTCP+FS) is an inter-agency group tasked with providing guidance and tools for UN Country Teams which intend to engage in UN House/UN Common Premises renovation, construction and/or relocation projects, and to study and recommend solutions to enhance efficiencies as well as to increase the number of UN House/UN Common Premises worldwide. The Task Team on Common Premises +Facilities services reports to the UNSDG Business Operations Group. The purpose of this consultancy is to provide secretariat support to the Task Team.

1- schedules the TTCP+FS meetings and prepares the agenda, material for the meeting and minutes in coordination with the Chair and DCO Common Premises Lead and follows up with the respective members for implementation of action points; 2- On behalf of the TTCP Chair, the incumbent (a) Liaises through written and oral communication with all stakeholders; 3- appraises all communications received by the secretariat and coordinates with the relevant stakeholders to ensure they are responded to; 4- coordinates input of members to various documents and reports; 5- assists in the preparation of communications materials for various audiences including training material webinars and newsletters; 6- Assists in the preparation of reports to the BIG and other Senior management groups; 7- ensures that material on common premises remains updated on the UN websites and various platforms; 8- Prepares material and pdates the TTCP+FS toolkit as and when required; 9- assists with the preparation and management of the TTCP+FS budget; 10- ensure logistics coordination for Common Premises trainings and workshops 11- Monitors the project pipeline and progress of projects in coordination with DCO Manages, researches, supports/performs other tasks as required by the TTCP work plan. Undertakes other activities linked to common premises support, as necessary.The latter may occasionally require the incumbent to undertake mission travel on TTCP projects

Qualifications/special skills Skills: - Proficiency in Microsoft words, excel and PowerPoint and other Microsoft applications. - Ability to translate meeting discussions into concise notes. - Ability to coordinate logistics for meetings and events - Analytic capacity and demonstrated ability to process, analyses and synthesize complex information. Academic Qualifications: Bachelor’s degree in any administration related fields Experience: Minimum of 5 years of experience in an administrative assistance role is required Proficiency and experience in Microsoft words, excel and point is a requirement .Working knowledge of the UNSDG is an asset, Experience in the construction industry is an asset . Language: English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language especially French is an advantage.

Additional Information Scope of Work: The Consultant will coordinate with the focal points of countries, other relevant stakeholders and the Task Team on Common Premises +FS for assistance in the planning and implementation of the decisions and other deliverables of the Task team
