Org. Setting and Reporting This post is located in the Division of Administration, Central Support Services (CSS), Purchase and Transportation Section (PTS) , Travel and Logistics Unit (TLU), Logistics Sub-unit. The incumbent reports to the Chief of the Travel and Logistics Unit.

Responsibilities Under the general supervision of the Chief of the Travel and Logistics Unit, the incumbent will be responsible for the following tasks:

(a) Planning and organizing the work of the Sub-unit in the provision of logistics-related services. (b) Preparing and managing the budget of the Sub-unit, supervising staff, performing periodic staff appraisals and recruiting staff as required. (c) Supervising all Shipping, Receipt and Delivery-related activities including:

Mail Receipt and Delivery -The Mail Operations of the United Nations Office at Geneva which handles over a million items per year and includes the receipt and delivery of all mail, parcels, low-value procured goods and diplomatic pouches for Palais des Nations, Palais Wilson and other Geneva-based locations; -The collection and distribution of internal and external mall in all Services in the Palais des Nations and its annexes as well as to 15 International organizations in Geneva; -The coordination of mail operations with other International Organizations and specialized entities located in Geneva; -The identification of client institutions' needs and negotiating the corresponding levels of service and quality standards and responding to delays, loss and complains; -The management of contracts concluded with public and private postal and express mail companies and forwarders for diplomatic pouch shipments (US$ 11 million);

Supervise Warehouse Management related activities including: -The receipt and distribution of all procured goods for Palais des Nations, Palais Wilson and other Geneva-based locations; -The identification, bar coding and registration of procured goods as property -The appropriate warehousing, tracking and replenishment of supplies and equipment; -The requisition processing and distribution of supplies and equipment to UNOG clients and other Geneva locations: -The preparation of goods for shipment, such as emergency operations.

Shipments -The dispatch of official and professional mail to non-UN destinations by postal and express mail; as well as regular and special pouch for UNOG clients; -The export and import of conference equipment and other official goods to and from other countries; -The logistics relating to the shipment of personal effects, including providing estimated costs at client request; -Custom clearance activities as required; -The review of reports, decisions, comments or complaints received from staff members or outside service organizations regarding shipping arrangements and taking appropriate corrective action.

(d) Supervising all activities related to the Drivers including: The transport of Geneva-based heads of offices and visiting VIP's (including the Secretary-General delegation, the Deputy. Secretary General and Parliamentarians for Global Action (PGA)). The management and maintenance of the UNOG vehicle fleet.

(e) Supervising all activities related to the UNOG Insurance Portfolio including: -Administration of UNOG insurance contracts and projects including insurance policies malicious acts, liability, property, fleet, visitors, covering UNOG and other Geneva based agencies; -Responsible for the preparing and negotiating new insurance contracts or renewals; -Prepares terms of reference and necessary documents for call for tender from insurance companies; -Organizes meetings with the Insurance broker and relevant partners to ensure a high level of benefits and services

(f) Monitoring and evaluating the progress of the work of the Sub-unit

(h) Reviewing and assisting in the preparation of instructions on logistics-related issues for UNOG.

Furthers the implementation of the Common Services strategy by: Coordinating with senior management of 18 International Organizations in Geneva on all common services-related issues regarding logistics-related issues.

Assists the Chief, Logistics and Travel and the Chief, Purchase and Transportation by: Advising on all insurance, transportation, mail operations and stores-related issues.

Education Advanced university degree (Master's or equivalent) in business, public administration, engineering, law/political sciences or other relevant field. A first-level degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.

Work Experience A minimum of five years of progressively responsible experience in mail operations, public administration, logistics, land or air transport, insurance contract management or related area is required.

Experience in enterprise resource planning systems is desirable.

Experience in an international organization is desirable.

Experience in the field of insurance is desirable.

Languages English and French are the working languages of the United Nations. For this post, fluency in English is required. Knowledge of French is desirable.

Special Notice This position is temporarily available for 364 days or, depending on the start date of the incumbent, through 31 December 2022.
