How can you make a difference?
The Programme Section, UNICEF Thailand Country Office (TCO) is seeking applications to a roster for individual consultants to provide administrative and programme support to the team.
Work Assignment:
The successful consultant is required to undertake the following functions:
- To perform all administrative tasks required for the preparation of workshops and meetings, which will include:
- Coordinate with other program staff to ensure complete logistics arrangements for the conferences to be hosted or organized by the unit, including the production of workshop materials, facilitate the booking of hotel accommodations and transportation for the participants.
- Prepares conference/meeting/workshop venues; communication requirements (e.g. internet, phone, and e-mail), invitation to participants, arrangements for meals; and registration.
- To perform other routine administrative and secretarial work as may be assigned by the team, this includes but not limited to:
- Coordinating contracting initiation for individuals and institutions required by section and ensuring the deliverables against the contract.
- Ensuring accurate documentation required for travel, including preparation and submission of requests for travel authorization and requests for country visas.
- Ensuring feasible arrangements for transportation, accommodation, and appointments.
- Ensuring complete and organized filing of administrative-and program-related materials, correspondence and other official documents.
- Ensuring the timely payment to vendors as agreed.
- Coordinating with the Common Service Unit in processing required administrative support.
- To support budget planning and monitoring per annual work plan and produce periodical financial reports for section programme monitoring and donor reporting.
- To perform collection and processing of data related to development and/or subject-matter activities and prepare background material, working papers and tables for briefing and review sessions may be required by section.
- To support programme development, planning and execution, as well as Knowledge Management and capacity building.
- Researches, analyzes, verifies, synthesizes and compiles qualitative and quantitative data and information from various sources on subject matters relevant to the hiring section’s work to facilitate the preparation of reports, working papers, presentations, knowledge development and capacity building.
- Supports capacity building activities related to performance monitoring, programme development, and related internal UNICEF systems/tools by preparing training materials and participating on exercises pertaining to program processes and procedures that aim to build stakeholders’ capacity.
- Prepares background material, working papers and tables for briefing and review sessions as required by section.
Work Schedule:
This is a call for consultants to be placed on the Administrative and Programme Assistant Roster valid for 2 years. Work schedules, deliverables and final outputs will be agreed with hiring manager.
The End Products are envisioned as follows, and will be defined upon specific tasks:
- Successfully support in the drafting of proposal, proposed methodology, final report and communication materials related to children’s rights and business, focusing on the topics around innovative finance/economics research related to labour/public finance/behavioural economics/corporate sustainability/CSR for Programme Effectiveness, Corporate Sector Engagement, business and human rights and the promotion of youth employability.
- Preliminary analysis of sustainability-related standards, regulations, ratings.
- Consolidation of information for policy briefs on corporate sustainability and children’s rights.
- Consolidation of related business cases such as social return on investment/social valuation on CSR projects.
- Successful coordination of conference, meeting, registration for events.
- Draft publications/presentations as required.
Estimated Duration of Contract: This is a call for consultants to be placed on the Administrative and Programme Assistant Roster. The duration of contract and necessary official travel will be upon agreement with hiring manager.
Qualifications or Specialized Knowledge/Experience:
- Minimum undergraduate education with at least 6 years’ experience in office administrative functions, willingness to learn.
- Minimum undergraduate education with at least 2 years’ experience in research, data management, knowledge management for research-related functions.
- Experience of working in UNICEF and/or UN system is preferred.
- Strong experience in providing logistical support for travel, events and meetings.
- Fluent English/Thai communication skills.
- Decision-Making: strong problem-solving abilities, takes initiative, drives for results, ability to prioritize work, communicates problems and proposes solutions, as appropriate, organized.
- Execution: Sense of urgency and responsibility, meets deadlines, flexible work style, ability to multi-task, prioritize and work under pressure, detail-oriented.
