What will you do in this position?

You will deliver a wide range of business support processes and activities for the Logistics Cluster to facilitate effective service delivery and provide specialized support functions and/or supervise staff performing standard logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities.

How can you make a difference?

In this position you will have to:

  1. Provide support to the unit’s daily operational activities and projects by providing input and tracking of activities.
  2. Provide guidance to staff in interpretation of administrative procedures, policies, processes, and use of corporate systems to ensure consistent and efficient services delivery.
  3. Coordinate activities to ensure operational supplies (stationery etc) are in place to support operations in the CO and hubs.
  4. Consolidate procurement plans from Logs Cluster hubs, raise and process and close PRs PR, SES, GRN and MPOs in observance of relevant Standard Operating Procedures.
  5. Whenever required, follow up with procurement unit to ensure timely delivery of supplies or services for the implementation of the Logs Cluster mandate.
  6. Verify and follow up the unit’s invoices, prepare payment requisitions, match invoices and ensure payments are made.
  7. Answer a range of queries related to the provision of administrative services in order to support resolution of daily issues.
  8. Process travel requests for Logistics cluster unit ensuring relevant travel documents e.g. travel tickets, boarding pass, approved security clearances and email approval by the head of unit are attached in corporate system (WeTravel) before certifying trips for payment.
  9. Collaborate and alternate with other administrative staff in other units for effective and continuous administrative services delivery.
  10. Manage administration arrangements for high level and routine project activities, including transport arrangement, hotel bookings, conferences, large-scale trainings and workshops.
  11. Accurately maintain both electronic and manual filing of all administrative documents related to Logistics Cluster.
  12. Ensure the Logistics Cluster workplan is monitored, reviewed and revised regularly.
  13. Contacts with visitors and staff, arrangement of appointments and meetings, acting as an interpreter when required and/or taking minutes.
  14. Translation of correspondence when needed.
  15. Assist budget preparation and monitoring of expenditure and grant expiries.
  16. Build and maintain the partnership with WFP stakeholders, other UN agencies and local government offices.
  17. Support collection of data and information on market capacity, supplier lists, input to LCA and relay information to Logistics cluster management for accurate reporting and decision-making.
  18. Perform other duties as whenever required.

Education: Completion of a secondary school. University degree social sciences, business/finance, supply chain logistics, international relations, communications or related field is desired.

Experience: Six or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Language: Proficiency in both oral and written communication skills in English and Ukrainian languages.
