JOB PURPOSE

The Business Support Assistant will provide administrative support to the Wellness team of Regional Bureau Bangkok (RBB) and aid in supporting country offices across the region in the implementation of the Wellness Strategy in their context.

KEY ACCOUNTABILITIES

The Business Support Assistant (BSA) for Wellness will report to the Regional Staff Counsellor, working closely with the Regional Medical Officer, and with all team members of the RBB Wellness Team. The incumbent will be responsible for performing the following duties (not all-inclusive, nor exhaustive):

  1. Prepare and/or consolidate comprehensive reports, documentation, correspondence, briefing notes, etc., in collaboration with the Regional Wellness unit.
  2. Respond to queries and escalate to the respective team where appropriate, to provide a timely and accurate service to employees and their families.
  3. Support processing and managing routine administrative, procurement and financial tasks, to contribute to the effective and timely management of resources.
  4. Oversee the maintenance of non-confidential Wellness records and databases to ensure information is accurate, organised and readily available for employees and their families, compliant with all relevant regulations and policies.
  5. Provide guidance on Wellness related business support methods and practices to other colleagues to ensure services are delivered consistently and to the required standards.
  6. Contribute to the production of Wellness health education and awareness materials to be used in Wellness campaigns.
  7. Work in collaboration with RBB country offices and their Wellness focal points in updating their local pages on the Wellness App.
  8. Monitor health related guidance issued by local authorities and provide regular updates as required.
  9. Ensure that WFP employees and their official dependents under medical evacuation within the region have correct travel and administrative documents while working with the Regional Wellness team and other relevant units (such as Admin, HR, Security), to ensure timely admission to health care facilities.
  10. Work with other functional units (such as Admin, HR, Security), taking on feedback where appropriate to assist in business support delivery of Wellness related activities across the region.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education.

Experience: Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work. Demonstrated experience in the health sector desirable.

Knowledge & Skills:

  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Uses tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Ability to offer guidance or basic on-the-job training to more junior staff.
  • Ability to manage and respect sensitive and confidential information.

Language: Proficiency in writing and verbal communication in English and Thai is required.
