ORGANIZATIONAL CONTEXT

This job is found under WFP Yemen Country Office based in Amman - Jordan. Job holder typically provide administrative support to team(s) and/or support a specific business stream, and report to the relevant Associate. At this level, work is carried out under close supervision or immediately available assistance. Job holder is expected to produce organized and accurate work.

JOB PURPOSE

To deliver a limited number of routine business support tasks in relation to light cargo coordination and movements within UNHAS Amman Hub, to ensure that customers are effectively supported. To deliver a range of routine business support tasks, to ensure that staff are effectively supported.

KEY ACCOUNTABILITIES (not all-inclusive)

  • UNHAS Amman focal point in coordinate light cargo requests between UNHAS Amman, UNHAS Booking Office and Cargo Requests from BSI and Agencies as well as NGO’s
  • Collect and prepare all required documents for individual shipments.
  • Coordinate with shipper and UNHAS airport staff for timely delivery of cargo to be loaded onto aircraft.
  • Collect, sort and disseminate correspondence, reports and other materials, to meet the required demands to facilitate cargo movements.
  • Respond to simple routine queries with readily available support by senior staff, and escalate where appropriate, in order to provide a timely and accurate response to cargo enquiries.
  • Support the maintenance of office files, documents, and records in accordance with established systems and processes, so that information is current and readily available for movement of cargo.
  • Undertake standard data entry tasks in accordance with defined systems, to ensure information is organized and readily available.
  • Any other tasks requested by the Head of Amman Hub, UNHAS team and/or designate.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education.

Experience: Two or more years of experience and knowledge of UNHAS Operation in general..

Knowledge & Skills:

  • Ability to use standard office equipment such as photocopiers and scanners.
  • Ability to follow standard business support processes and procedures.
  • Knowledge of standard office software packages, e.g. Microsoft word.
  • Ability to provide information using courtesy and tact.
  • Good attention to details.
  • Knowledge of UNHAS operation

Language: Fluency in both oral and written communication in the UN language in use at the duty station and fluency (level C) in English language.

  1. The applicant should be a Jordanian national or having work/residency permit.
  2. WFP staff who are still under probation period are not eligible to apply for another FT position.
  3. WFP staff on FT contracts must have completed one year in the current position to be eligible to apply for another FT position.
